Employee Relations Administrative Assistant
JOB SPECIFICATIONS:
? Carries out diverse administrative duties including answering phones, routing calls, opening and distributing mail, faxing, copying, ordering supplies, maintaining department calendar, paying department bills, requesting technical support when needed, processing expense reports and other related tasks.
? Serves as primary Employee Relations intake person for employee concerns and complaint calls. Records information and routes for investigation follows-up and facilitates or records resolutions as appropriate.
? Aids staff in the preparation of position statements by running reports, maintaining potentials file, making copies, preparing settlement releases, mailing settlement checks, preparing cover letters.
? Acts as a liaison between the Employee Relations staff and the field offices Screens telephone calls and responds to or directs inquiries and employee concern calls. Uses judgment to page or interrupt director or manager when necessary to handle time sensitive issues.
? Plans and schedules meetings and events; maintains calendar of appointments and travel itineraries; coordinates related arrangements.
? Serves as back up for Employee Relations Coordinator in AlertLine duties, Charge File Set ups and Database maintenance and all other duties.
? Maintains potential charges listing and files and department files.
? Performs tasks and duties of a similar nature and scope as required.
QUALIFICATIONS:
? High School Diploma or G.E.D. and 3-5 years of administrative, customer service related work experience, or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the Company. Some college preferred.
? Thorough understanding of standard office procedures and practices.
? Knowledge of basic bookkeeping.
? Ability to read, analyze, and interpret various internal and external documents and reports.
? Ability to write reports and business correspondence in a clear and concise manner.
? Ability to present information effectively and to respond to questions from groups of managers, executives and employees.
? Demonstrated proficiency in various office productivity software including word processing, spreadsheet, presentation, e-mail and database applications (Microsoft Office).
? Ability to analyze a variety of data and develop recommendations and solutions.
? Planning, organizing, and project management skills.
? Ability to communicate clearly and concisely.
? Ability to be an effective team member and handle project leadership responsibly.
? Ability to carry out multiple assignments concurrently.
? Courteous telephone manner.
? Strong customer service and results orientation.
