[Primary Function]
Provide general administrative and technical support to the Director of Engineering, Environmental & Compliance Manager, and the Engineering Group.
[Responsibilities and Tasks]
-Manages and prioritizes information flow, i.e. calls, contacts, emails. Disseminates or relays information appropriately.
-Plans, prioritizes, and organizes diversified workload, recommends changes in office practices or procedures.
-Manages the calendar for the Director of Engineering and the Engineering team. Arranges travel, meetings, conference calls, and other events.
-Compiles and maintains capital projections including coding of project invoices to the proper asset numbers for cost tracking.
-Prepares documents for scanning into PDF files, emailing and certified mailing. Files documents using File Numbering System and enters electronic copies into a database.
-Prints AutoCAD drawings, Microsoft Visio, and other documents
-Creates PDF files of AutoCAD drawings
-Create and maintains drawing logs and certified mailing logs.
-Prepares and binds project/specification manuals, bid lists, and contractor bid packages.
-Prepares meeting agendas; takes meeting notes, follows up on agreed-upon action items.
-Responsible for maintaining the appropriate filing system for Engineering-related documentation.
-Manages and orders department supplies.
-Other administrative duties as required.
[Minimum Skill Levels and Work Experience]
-Associate?s degree in Business, Communications, or other relevant discipline and 2 to 4 years relevant experience in an administrative support role OR High School diploma or equivalent and 4+ years relevant experience.
-Strong business acumen
-Demonstrated ability to manage multiple priorities. The ability to change work direction within shifting priorities.
-Strong independence and high initiative in judgment and problem solving.
-High level of judgment in handling time sensitive and confidential information.
-Demonstrated strong skills in planning, organization and follow-through.
-Excellent written and verbal communication skills.
-High level of interpersonal skills.
-Skilled in use of PC, Microsoft applications, Lotus Notes and other in-house applications. Ability to learn and utilize new software productivity tools is required.
[Preferred Skill Levels and Work Experience]
-Experience using basic AutoCAD functions is highly desired.
