Executive Administrative Assistant #12996

  Responsibilities: Provide administrative leadership in the office of the CAO and the executive team of department business needs. Specific responsibilities will include the following:
Maintain the office of the CAO's business calendar on a daily basis, arrange frequent, rapid and timely domestic and/or international business travel arrangements for the CAO. Using an internal travel on-line system and coordinate with Garber travel representatives. Prepare and process expense reports using Extensity an external web based tracking system. Maintain accurate records of all expenses relating to the CAO. Oversee and negotiate the cost-effective purchase of office supplies, invoices, ereq's, etc. Maintain extensive follow up files and provide support to executive admin team when needed. Act as a liaison to the executive team, board of directors in dealing with current issues which may involve the CAO. Assist and coordinate in special event planning. MUST HANDLE ALL MATTERS CONFIDENTIALLY, evaluates issues as needed and briefs CAO on a weekly basis.

 

 

Qualifications:

Requires a minimum 10-15 years of full-time work experience as an administrative assistant or executive administrative assistant to the President, CEO, COO, CFO or business leader. Requires excellent oral and written skills. Must exercise discretion, have excellent organizational skills and a professional manner. Associate degree in business administration or secretarial practices.
