Position to be a temp to hire opportunity.

BASIC? FUNCTION:
?To provide administrative assistance to the President and CEO? and Chairman of the company.? Is responsible for the organization and timely operation of the office of the President/CEO and Chairman of the company.
1)? SKILL REQUIRED:

- Dictation Skills/letter forming skills????????
- Excellent Organization/Reporting Skills
- Capable of Keeping Complete Confidentiality
- Work Un-supervised
- 4 yrs. Executive Secretarial Experience

2)? NATURE AND SCOPE:
This position is responsible for administrative assistance to the President/CEO and Chairman of the Company.? May assist in some administrative duties for the V.P.'s in the Company.? Will handle confidential information.
3)? POSITION ACCOUNTABILITIES/DUTIES:
?a)? Apprise President of important events and messages received during his absence.
?b)? Always be total quality focused, continually meeting both internal & external customer's needs (requirements for quality), provide confidence to internal management and other employees that the requirements for quality are being fulfilled & maintained and continuous improvement is taking place.
?c)? Schedule appointments & meetings for President, screen incoming calls, places out going calls, greets visitors and ascertains nature of business.
?d)? Reads and route incoming mail.? Locates and attaches appropriate file to correspondence to be answered.
?e)? Takes dictation in shorthand or by machine and transcribes notes. Compose and type correspondence.
?f)? Maintains complete executive files as required.
?g)? Arrange travel schedules, reservations, and meeting schedule for trips
h)? Coordinate and plans conferences, business meetings, directs preparation of records, such as notices, minutes and resolution of directors meetings.
?i)? Prepare and record Sr. Staff meeting minutes.
?j)? Prepare correspondence for President's signature, some by direction, other by direct preparation.
?k)? Maintains files;keep updated Rolodex cards on phone numbers used frequently.
?l)? Attend outside meetings as President's representative when necessary.
?m)? Assist members of Senior Staff as requested.
?n)? Review expense account and prepare for President's approval.
?o)? Operate computer as required, keeping updated with new programs necessary for execution of duties.
?p)? Attend to training required and / or recommended in order to achieve benchmark quality performance.
?q)? Promotes job safety, safe environment, and works towards achieving Company safety goals.
?r)? Provides tools to achieve quality work to meet all internal and external customer's requirements.
?s)? Comply with and foster employment policies and procedures as defined in the Seitz Corporation Employee Manual and Safety Manual.
?t)? Develop plans and personal goals for achieving Department and Company goals.
?u)? Refers difficult problems to President.
?v)? Perform any other job related duties as so deemed by the President.
