Executive Administrative Associate
Job Description:
Primary Purpose of Job
Performs a critical role as an extension of the CFO in managing the administrative functions of the CFO's office. Responsible for the preparation of data required for various publics, as well as the delegation/follow up of specific CFO assignments. This position reports to the Vice President and CFO of The Coleman Company, Inc. and is located at the Wichita, Kansas, headquarters.
Major Job Responsibilities/Accountabilities
· Main responsibility will be to provide secretarial, administrative and executive assistant duties for the CFO.
· Prepare presentations, letters, reports, faxes, and overnight packages; compose correspondence and presentations using Microsoft Word, Excel and PowerPoint.
· Answer telephone; give information to callers, and route calls to appropriate person.
· Execute assigned administrative duties, special projects, audits, research, etc.
· Distribute internal and external correspondence.
· Arrange travel schedules and reservations for domestic and international travel.
· Schedule meetings and related arrangements/accommodations.
· Coordinate invoice processing through Accounts Payable.
· Communicate with outside agencies and internal departments on daily activities and issues.
· Prepare PowerPoint presentations.
· Poses no direct threat to the health or safety of himself/herself, of others, or to property. Defined as a significant risk of substantial harm that cannot be eliminated or reduced to an acceptable level by reasonable accommodation.
· Requires regular attendance to perform essential elements as contained herein between the assigned start and end times for work.
· Performs such individual assignments as management may direct.
· Establishes and maintains effective work relationships within the department, the Corporation and the community; and maintains the professional competence, knowledge and skill necessary for the satisfactory performance of all assigned responsibilities.
Job Requirements:
Knowledge, Experience and Skills Requirements
· Bachelor's degree preferred.
· A minimum of 5 years progressive experience in administration.
· Display professionalism, discretion, tact and diplomacy in all interfaces.
· Must possess high level of personal integrity and confidentiality.
· Must be conscientious and able to work with confidential information on a daily basis.
· Able to write clearly and effectively present ideas and to document activities; to read and interpret written information, including expert proofreading skills. Able to clearly present information through the spoken word; influence or persuade others through verbal presentation in positive or negative circumstances; listen well.
· Strong computer skills including Word, Excel, and PowerPoint. Testing will be conducted.
· Individual must be flexible in working overtime when needed.
· Individual must be detail oriented, accurate, and possess good organizational skills.
· Must have ability to learn fast and work under general supervision.
· Ability to work on multiple projects and tasks is required.
· Individual must enjoy and be able to work in a fast-paced environment.
· Must possess the willingness to learn.
· Must be energetic and self-motivated with a positive attitude and the ability to work in a team environment.
