Executive Administrator

SUMMARY

Manages a variety of general office activities by performing the following duties.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.

 

Analyzes and organizes office operations and procedures such as bookkeeping, certified payrolls, payables, receivables, information management, filing systems, requisition of supplies, and other clerical services.

 

Assists Regional Controller with reconciliation of P&L.

 

Maintains contract administration and lien releases.

 

Maximizes office productivity through proficient use of appropriate software applications.

 

Researches and develops resources that create timely and efficient workflow.

 

Establishes uniform correspondence procedures and style practices.

 

Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.

 

Plans office layout, develops office budget, and initiates cost reduction programs.

 

Reviews clerical and personnel records to ensure completeness, accuracy, and timeliness.

 

Prepares activities reports for guidance of management.

 

Coordinates activities of various clerical departments or workers within department.

 

Plans company social events such as picnics, holiday parties and staff lunches.

 

Makes travel arrangements and hotel reservations for Harmon, Inc. staff.

 

Coordinates on-site and off-site conferences.

 

Maintains contact with customers and outside vendors.

 

Other duties may be assigned.

 SUPERVISORY RESPONSIBILITIES

May have supervisory responsibilities. Carries out supervisory responsibilities in accordance with the organization?s policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

 QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

 

EDUCATION and/or EXPERIENCE

Associates degree (A.A.) from two-year technical or community college; or two to three years related experience and/or training; or equivalent combination of education and experience. Experience with finance required; experience in a construction industry preferred.
