Executive Assistant I - SD-006E7
Description Under limited supervision, theExecutive Assistant Iperforms general secretarial and administrative support to a group or team of client serving personnel. This individual collects, compiles and analyzes basic data and information; receives and responds to routine correspondence following established procedures; maintains a close and highly responsive relationship to the day-to-day activities of the supervisor or staff; and serves as a facilitator of all correspondence/information going in and out of the group or work area.
Responsibilities
Work in document preparation and management including formatting and editing letters, reports, and all other correspondence from information provided to client-ready work with guidance.
Develop a working knowledge of services the firm/practice provides and add value through recognizing clients and client-serving personnel, and understanding the work that the engagement/practice does and how they do it.
Develop relationships with the engagement team and other internal clients.
Act as a liaison between the group or work team and clients/colleagues to facilitate work and accomplish objectives in a collaborative effort.
Possess a working knowledge of the client engagement management process and ensure compliance of time and expense tracking/reporting.
Develop a working knowledge of the internal financial coding structure and client billing process. Prepare draft client invoices with minimal to no guidance.
Coordinate meetings and make arrangements for conferences, meetings and events.
Possess a basic knowledge and utilize firm-standard technical equipment, including MS Word, Excel, PowerPoint, Lotus Notes and other relevant software.
Coordinate the calendar by establishing a systematic approach for oneself and others to track time commitments and the completion of tasks.
Coordinate routine domestic and international travel arrangements and recommend the most cost-effective itineraries.
Qualifications
The incumbent of this position must have:
Education:
- a high school diploma
Experience:
- 2-3 years ofrelated experience
Skills:
- effective interpersonal and communication skills and the ability to interface with personnel at all levels, both orally and in writing
- the ability to improve standardized best practices and service deliveries to accomplish firm, group, customer and/or individual goals
- the ability to meet new challenges with an open mind and an optimistic response, take initiative by anticipating customer needs, and complete assignments without request or discretion; an understanding of and ability to demonstrate firm values
- the ability to understand and anticipate customers' needs, deliver service that meets expectations, and demonstrate a positive attitude and willingness to help
- a working knowledge of the firm's structure, key personnel and organizational policies and procedures, in addition to functional knowledge of a professional services environment
- the ability to handle routine administrative details independently, while exercising good judgment in keeping team members adequately informed
- proficiency in the use of standardized software and hardware applications, including MS Word, Excel, PowerPoint and Lotus Notes
This professional must be available for overtime, as needed, and must have an excellent attendance and punctuality record.
