Executive Assistant ? Providence, RI
Overview:
Provide executive administrative support to one (1) Shareholder and three (3) Principals in the Providence, RI Tax Department. This position reports primarily to the Office Manager.
Responsibilities:
? Provide telephone coverage and extensive calendar/scheduling support;
? Frequently interact with clients on the telephone, via e-mail and in person and troubleshoot client issues whenever possible;
? Keep abreast of current activities and frequently changing schedules of assigned Shareholders and Principals;
?Create and edit new business presentations using PowerPoint. Edit and bind final copies for presentation;
?Proof read and compose routine correspondence;
? Frequently interact with other administrative staff and provide back-up as necessary to contribute to a team effort;
? Maintain flexible work hours so as to coincide with the Shareholder and Principals? schedule, when necessary;
? Maintain time and expense reporting and process billing on a monthly basis using CPA software;
? Provide assistance with travel arrangements and handle last-minute changes and /or issues that arise;
? Set up and maintain client files;
?Provide back-up at Reception (switchboard and greeting clients, etc.) when needed;
? Other responsibilities as necessary.
**This position requires working standard and non-standard hours, including weekends and evenings during busy season (January 15-April 15);
Experience/Skills/Education:
? Candidates should have 5+ years of executive level support experience, and enjoy working in a busy and unstructured work environment . Experience working within a professional services environment such as a public accounting or law firm interfacing with clients, strongly preferred;
? High School degree or equivalent required; an Associates degree or certificate in business studies or executive/administrative support or related, is a plus;
? Excellent verbal communication and client service skills required. Good written communications skills required and a demonstrated ability to compose, edit and proofread business correspondence, required;
? An ability to prioritize requests, multi-task and determine sense of urgency and maintain an ease in responsiveness is required;
? Experience handling confidential information is mandatory;
? Average of 30 wpm strongly preferred; proficiency with Outlook, MS Word, and Excel required. Working knowledge of PowerPoint a plus. A willingness to become proficient in accounting-related software such as ProFX, CPA, ePace etc. with minimal instruction is necessary;
? Must be well organized and have demonstrated ability to anticipate administrative requests.
