Position Overview
The Executive Assistant will provide confidential, secretarial, and personal administrative support to the US Central Division Manager. Responsibilities include heavy scheduling and logistics, and are not limited to the examples listed below. Hours: Monday ? Friday 8.30 ? 5.30 p.m., with flexibility to arrive early and stay late upon short notice.
This candidate should also possess a good sense of humor, be flexible, and use good judgment at all times. For this EA position, the qualified candidate will need to be able to prioritize and use the US Central Division Manager?s time effectively; be persuasive with other senior people in the organization and their AA?s; be able to take initiative and work independently and proactively; and also maintain a very high level of confidentially. This position will require occasional travel, The qualified candidate should have the ability to coordinate meetings and travel while on the road as well as when in the office.
Responsibilities
Support of the US Central Division Manager:
?Coordinate and maintain appointment schedules and calendar
?Coordinate arrangements for internal/external meetings, conference calls, including Central Division Matrix meetings/calls; compile and disseminate materials for meetings and calls as required; produce and distribute meeting minutes
?In-depth screening of phone calls
?Coordinate arrangements for special events as required
?Work on a variety of special projects as needed
?Schedule and coordinate travel arrangements and reservations
?Participate in meetings and on calls as required, document proceedings
?Provide direct support to clients and associates as an information source, referring and/or taking messages with the highest level of customer service orientation
?Screen incoming calls and emails; respond to concerns and requests for information; forward or refer as appropriate
?Develop and maintain detailed records and filing systems
?Complete computerized expense reports and time entries
?Review and distribute incoming/outgoing mail and correspondence
?Coordinate/perform faxing and copying projects; coordinate messenger and overnight mail services
?Provide communication and information link between the Central Division Manager, Office of the President, US Matrix and Central Division Matrix
?Develop, maintain, and monitor reports to ensure all projects and assignments are completed and communicated on a timely basis; follow-up as appropriate
Document Production
?Type, edit, proof, and finalize a variety of reports and presentations
?Independently draft/compose routine letters and general correspondence (including e-mail) from verbal direction or from knowledge of processes and procedures
?Design and format reports, forms, correspondence, utilizing Watson Wyatt Worldwide standard and highest possible quality orientation
