Executive Secretary

Pay based on experience. Excellent compensation package.

 

Job Purpose:

Supports office services by researching sources of information; establishing policies and procedures; compiling annual budget information; prioritizing tasks; providing work direction to clerical staff.



Duties:

* Compiles information by researching sources; gathering and interpreting data; entering data to computer system; formatting and designing new formats for department use; maintaining database information.



* Prepares materials and reports by collecting and analyzing pertinent data; completing documents and forms; editing documents; acquiring signatures and approvals.



* Maintains department documentation by updating and revising department policy and procedures manuals; compiling regulatory agency documentation.



* Accomplishes financial objectives by monitoring monthly supply expenditures; compiling annual budget information; reconciling monthly expenses to budget; investigating and analyzing differences.



* Maintains office operations by assigning priorities to tasks; delegating tasks to clerical staff and following-up on results; establishing office supply inventory levels; troubleshooting equipment malfunctions; evaluating new systems and equipment.



* Maintains department information by developing filing systems and procedures; updating and purging files.



* Maintains schedules and plans activities by monitoring department master schedule; resolving schedule conflicts; organizing department social functions.



* Maintains work methods by orienting new employees to office procedures; notifying and training staff in new office procedures.



* Updates job knowledge by participating in educational opportunities; reading professional publications; participating in professional organizations.



* Accomplishes department and organization mission by completing related results as needed.
