Executive and Legal Administrative Assistant

CITY: Minneapolis STATE: Minnesota COUNTRY: USA Essential Functions (Responsibilities):
* Support Public Finance Executive and Legal team in various capacities and provide coordination of administrative support
* Create, amend or modify legal documents via Dictaphone tapes or draft mark-ups
* Handle sensitive & confidential info; create presentations, reports, charts, and other documents for corporate reviews
* Manages all types of daily correspondence to ensure timely response and appropriate prioritization
* Organize and arrange schedules, coordinate calendars, trip planning / travel, appointments and meetings
* Responsible for materials in relation to meetings: collecting and compiling information and coordinating delivery
* Anticipate, identify, analyze and solve issues / conflicts independently and discretely
* Work as a team player with others
* Process legal invoices through e-invoicing, T&L expense reports, company-card reports
* Provide administrative support and coordinate service for Public Finance's various IT systems
* Filing of correspondence and deal transcripts

Qualifications/Requirements:
* Highly professional interpersonal skills - high level of motivation, integrity, self-confidence and ability to take initiative and work well independently
* Exceptional PowerPoint skills. Highly proficient in Microsoft Word (including marking documents to show changes), Microsoft Excel, Support Central and Scanning
* Excellent administrative, organizational and telephone skills
* Significant experience in creating legal contracts and maintenance of corporate minute books
* Proficient at transcribing Dictaphone tapes
* Lexis research experience
* High level of attention to detail
* Demonstrated ability to balance workload under short deadlines and changing priorities
* Ability to prioritize and manage multiple tasks simultaneously
* Collaborative team player with proactive approach
* Ability to interface with Sr. Executives at GE
* Overtime required
* Ability to ensure security of highly confidential information - discretion and confidentiality required

Desired:
* Minimum 5 years experience as a secretary
