The front desk administrative assistant is responsible for a wide variety of tasks. The most important qualities for this position are a consistently pleasant attitude, the ability to multi-task, flexibility, and willingness to help staff and clients however is needed. This position involves answering the main phone lines to the office, but includes many other administrative responsibilities as well.
Main Responsibilities:Opening & closing the office each dayAnswering phones for 5 different connected companies (there are about 40 professional staff in the office)Handling incoming and outgoing mail, as well as preparing overnight shipments Customer service to clients (emailing things to clients, tracking down staff to relay messages, etc.) Answering 401k questions and forwarding information Managing schedule of conference rooms and schedule of open offices for visiting staff Setting out new inter-office shuttle bag, distributing contents and making sure the shuttle gets to the other AKT office dailyKeeping track of employees and entering it to our software that posts their current locationMonitoring the backup tapes for the server in the office Printing and formatting things for people Taking projects from people and doing them or forwarding them to other Admin staffOffice Suite Monitor- relay all messages and enter service requests online & talk with janitorial staff Organizing the supply closet & ordering supplies & coffee Scanning of documents into the electronic database Ordering food for meetings and setting up electronic equipment for presentations Monitoring marketing flatsheets and printing more Logging in projects when they are ready, and logging them out when they are doneTaking on extra projects and scanning during tax season (February to April)
