JOB DESCRIPTION

 

An employee may work primarily as an appointments clerk or as a receptionist, or perform a combination of these duties. Uses the Automated Data System (ADS) and Composite Health Care System (CHCS) computer systems in performance of duties.

 

Employee may be required to fill in for a clinic/section other than the one assigned, to cover short term staffing shortages due to other employees being on sick or annual leave, position vacancies, high workload, etc..

 

Receives visitors and telephone calls, including family members, unit representatives, military police, and chaplains. Relays incoming calls and messages to the appropriate staff. Follows established office procedures for referring patients with emergencies and walk-in patients for treatment.

 

Screens patients to determine the purpose of their visit and checks their eligibility for treatment. Keep non-emergency walk-ins in sequence by order of appearance. Explains clinic/department appointment procedures and priority of treatment.

 

Schedules and coordinates appointments for patients with various clinics, ensures all treatment requested by the physician has been scheduled and reschedules appointments as necessary.

 

Obtains, reviews and updates, if necessary, medical records of patients prior to an appointment. Assembles records in accordance with regulations. Inserts additional forms when necessary.

File results of laboratory tests, x-rays, EKGs, etc., in the medical record. On timely basis enters a variety of physician orders on various charts, identifying a variety of chemical compounds, symbols, and abbreviations, comprising medical orders.

 

Observes patients for obvious signs of discomfort, illness, or stress, notifying professional staff of perceived emergencies or unusual circumstances.

 

Compiles data for a variety of reports, using automated systems and prepares releases of information for patients. Provides clinic orientation to Red Cross volunteers, newly assigned personnel and other ancillary service personnel. Maintain waiting-room area in a neat and orderly manner.

Resolves clinic complaints of an administrative nature and refer all other complaints to the appropriate personnel per clinic/ward policy.

 

Serves as primary point of contact with the patient to determine if they have third-party insurance. Ensures proper forms are initiated and signed, whether or not patient has insurance coverage; that all forms are forwarded to proper offices for billing and record inclusion; and that information is kept current.

Enters and retrieves from the CHCS computer system laboratory and x-ray orders as directed.

 

REQUIRED SKILLS

 

A positive job requirement exists for a qualified typist ? must type 55 WPM.  Must possess a working knowledge of Microsoft Office programs. Uses word processing software and printing equipment to create, copy, edit (e.g., makes insertions or deletions or moves material from one place to another), stores, retrieves, and prints a variety of standardized documents using a glossary of prerecorded formats, form letters, standard paragraphs and mailing lists.

 

REQUIRED BACKGROUND

 

All contract Providers shall submit to a background check prior to being allowed to work.  No identification badges or computer access shall be granted until contract personnel provide required background information for the background check to be completed.
