Lead Administrative Assistant, Internal Audit
MAJOR DUTIES AND RESPONSIBILITIES:
Individual will be responsible for providing general administrative support for the Audit Director and the audit department. This position includes significant work in MS Office Word and Powerpoint to create and prepare documents and presentations. In addition, the individual will prepare and distribute audit reports and other audit communications utilizing a specialized internal audit software application and email. Some use of SAP is required for department purchasing and budgeting activities.
PRIMARY DUTIES:
-Planning/Anticipating travel needs of Director and department and independently coordinating complex travel arrangements.
-Arranging and coordinating meetings/conferences.
-Managing complex calendar activity, including coordination of appointments.
-Coordinate Audit department activities.
-Meeting planning for both small & large groups - schedule meetings, coordinate meals, coordinate travel, review and approve contracts for off-site events, etc.
-Finalize and electronically issue audit reports, audit surveys and other correspondence including use of internal audit software application.
-Overseeing P-card purchases and ensuring adequate documentation is maintained and that purchases are valid.
-Create expense reports.
-Manage the routine office administration tasks ? office equipment troubleshooting, repair and coordination, general clerical support (prepare letters, memos, make copies, send faxes and manage office supply stocks, etc.).
-Prepare all Audit Committee presentation materials using Word and PowerPoint.
-Special projects when needed by the Audit department.
EDUCATION:
A.S. degree preferred.
WORK EXPERIENCE:
A minimum of two years experience with administrative support to individuals at the V.P. or Director level.
SKILLS / KNOWLEDGE:
- Strong proficiency with Microsoft Office tools ? Word, PowerPoint and Excel required.
- Experience/proficiency with SAP preferred.
- Experience/ability to manage basic financial/budget data.
- Ability to troubleshoot copier/printer/fax issues.
- Strong organizational skills.
- Friendly and personable.
- Excellent accuracy and proof-reading skills.
