Lead Executive Assistant
The Executive Assistant will serve in an integral support role to the Executive team in support of Capella University?s business operations and initiatives. This position will be responsible for managing correspondence for the Chairman and CEO and may provide support to other senior executives, making travel arrangements and preparing itineraries; arrangingmeetings, and preparing for and greeting guests as necessary; organizing conferences; establishing and confidentially maintaining any records, files and business manuals under the purview of the CEO and other senior executives. The individual in this position will also serve as ?Lead? for the Executive Office Assistant team.
Responsibilities:
? Screens and follows-up on incoming calls and e-mails to the Chairman and CEO to facilitate and control internal and external communication (and may provide support to other senior executives).
? Maintains calendar, schedules appointments and commitments, coordinates internal meetings and plans and coordinates management conferences in order to provide administrative support for senior management activities. May also record minutes for internal and board meetings and conference sessions.
? Sorts, classifies and annotates incoming mail and email. Handles correspondence and reports as directed. Composes and types internal and external correspondence to ensure professional and timely responses to appropriate parties.
? Arranges travel for Chairman and CEO and other senior executives. Ensures optimum travel arrangements based on schedule and cost parameters. Evaluates performance of travel agency and recommends changes or improvements to ensure excellent service and responsiveness.
? Prepares PowerPoint presentations for internal and external meetings as needed.
? Handles personal and confidential matters ? letters, sensitive personnel data, civic projects, etc.
? Maintains filling systems for executives, ensuring that records are kept in an organized manner and are readily accessible.
? Performs ?lead? EA tasks that may include 1) training and coaching other EA?s; 2) developing good processes and documentation for EA positions; 3) providing project coordination and leadership for major executive office initiatives to ensure project meets deadlines and quality expectations; 4) Supervision of administrative or overload staff.
Qualifications:
? Education: Bachelor?s degree or Certified Professional Secretary certificate
? Experience: 7+ years minimum experience in a senior level executive secretary or administrative capacity, lead experience preferred
? Ability to work under limited supervision and exercise independent judgment and initiative
? Excellent written and verbal communication skills and ability to interact effectively with senior management levels
? Ability to compose memos letters and reports with minimal direction
? Excellent working knowledge of English, including grammar and sentence structure
? Advanced knowledge of Microsoft Office Products and PowerPoint.
? Good organizational skills, and ability to devise ways to use these skills to keep the CEO and other senior executives organized and their offices running efficiently
? Demonstrates the ability to manage/coordinate multiple projects and successfully prioritize multiple tasks with good judgment
