Under general supervision, performs full clerical, administrative and general office support to members of the Legal Department. Exercises independent judgment and initiative to relieve the personnel of the unit of as many administrative details as possible. Maintains records, obtains and organizes information, arranges and schedules meetings and conference calls while monitoring and managing various calendars. Responsibilities will include dealing with information that is highly confidential in nature.
Provide effective and efficient assistance to members of the Legal Department.
Work with other administrative support in the work area to maintain an equitable workload balance and to optimize the administrative workflow.
Serve as back-up administrative support for other members of the work team during periods of absence, vacation, illness or training.
Coordinate meetings and conferences to include both face-to-face and conference calls involving multiple people and locations. Assists with coordination, setup, support of meetings and other special events as necessary.
Arrange all travel reservations, hotel reservations and car rentals as requested, using both the Internet and corporate travel department for team and customers.
Handle all expense reports for legal staff that is supported and submit and reconcile in a timely manner.
Answers phones and responds to routine inquiries. Communicates with administrative staff, vendors, customers and business partners on frequent, routine and occasional sensitive and confidential matters. Ensures adequate back-up phone support.
Screens, sorts and routes all incoming mail and internal paperwork in a timely manner. Composes and proofs correspondence, mail messages and reports as directed.
Monitors inventory of office supplies and materials by preparing appropriate documentation, obtaining approval and submitting. Sends all invoices to VP Deputy General Counsel for proper authorization for approval and payment.
Maintains hard and soft files, correspondence, documents, reports and records.
Provides reproduction support through the operation of photocopier or coordination of service with internal or external sources.
Operates desktop and has knowledge of laptop computers and various printers and scanners. Utilizes word processing software. Provides document production/editing support as needed, in word, excel or power point systems. Ability to utilize database software, set-up and maintain files and run reports as needed.
High School Diploma, some college level coursework or additional legal administrative course of study.
2+ years relevant experience
Proficient in the use of a variety of Microsoft Office Professional Software. Ability to utilize word processing software, such as Word, Excel, PowerPoint, Windows 95 and Outlook. Must possess effective written and oral communication skills. Must be able to prioritize and handle multiple tasks while meeting deadlines.
