Logistics Support Center Representative - CO

JOB TITLE: LOGISTICS SUPPORT REPRESENTATIVE


 


SUMMARY:


Under minimal supervision, performs a variety of moderately difficult secretarial, clerical, and/or administrative functions in support of a manager or department. Work is somewhat difficult and requires specialized knowledge and/or procedures particular to that office or department and allows independence of action and discretion in the disposition of routine and nonroutine matters.


 


MINIMUM QUALIFICATIONS/KNOWLEDGE:


·  High school graduate or equivalent.


·  Requires 3-5 years clerical experience.


·  Good knowledge of English and spelling.


·  Requires good knowledge of math principles.


·  Ability to establish workload priorities and manage a diverse workload.


·  Ability to work with minimal supervision.


·  Ability to communicate effectively and employ a high level of diplomacy and tact both verbally and in writing.


·  Ability to carry out, interpret, and enforce both clerical and departmental methods and procedures.


·  Intermediate knowledge and use of relevant PC software applications, such as word processing, graphics, spreadsheets, and databases.


·  Good interactive telephone skills.


·  Ability to handle repetitive motion work such as keyboard, sorting and filing.


·  Ability to maintain the confidentiality of both verbal and written information.


·  Ability to complete assigned duties with a high level of accuracy.


·  Ability to work in an environment that includes constant interruptions.


·  Performs problem solving within a range of moderate complexity and may work with other departments.


 


MINIMUM QUALIFICATIONS/KNOWLEDGE (cont):


·  Ability to seek and implement solutions to problems in a team environment and the ability to work with a variety of personalities, including people of different cultures.


·  Demonstrates good team behaviors.


·  Good working knowledge of company policies and procedures.


·  Ability to work effectively and handle interruptions.


 


RESPONSIBILITIES:


·  Using a personal computer, types a variety of narrative and/or numerical material, some of which is difficult and/or complex and may be confidential in nature.


·  Composes correspondence, establishes formats, and edits work for content and syntax, as well as for correct grammar and spelling.


·  Establishes, revises, and maintains office filing systems that require the filer to employ knowledge of department operations and discretion in determining the proper place for filing documents.


·  Maintains effective working relationships with persons at all levels within the company including vendors, customers, regulatory authorities, employees, consultants, etc.


·  Performs file searches, as requested or in conjunction with other assigned duties, and maintains appropriate controls over materials taken out of the filing system.


·  Independently maintains records and logs that are used in conjunction with other assigned duties or that assist others in the preparation of records and reports and that require information coordination of compilation, computation, and similar acts of preparation.


·  May perform general reception duties by receiving incoming calls and visitors to the department or area. 


·  May serve as the target zero contact for the department or area.


·  Professionally handles both routine and nonroutine requests for information and assistance using discretion in determining whether the situation can be handled personally or should be referred to the supervisor or others for disposition.


·  Performs a wide variety of clerical duties in support of a department or area.


·  Performs duties that are particular to the position or department, requiring independence of action and discretion in the disposition of routine and nonroutine matters.  Duties may involve the application of a broad range of clerical methods and procedures in support of a department or area.


·  May fax and distribute correspondence, documents, and mail as requested.


·  Identifies process improvements and assists in planning and implementing new procedures and programs.


·  May develop or participate in preparation and completion of special projects.


·  Uses a wide variety of office equipment.


·  Performs other duties required or assigned, which are reasonably within the scope of the duties listed above.


·  Maintains confidentiality of company and/or employee information.

International Supply Chain Support Specialist


·  Ability to work an eight-hour shift within a flexible work schedule.


·  Through direct customer contact, provides products and service to meet customer needs with the international subsidiaries.


·  Sensitivity and regard for other cultures and their form of communication.


·  Interfaces extensively with customers on the telephone to take orders, resolve issues, and answer product and service questions; specific to international customers.


·  Researches and resolves shipping issues.


·  Schedules shipments and conveys commitments and shipping instructions to the warehouse.


·  Interfaces with customers on recalls and quality issues.


·  Negotiates resolutions with customers on problems.


·  Interfaces on holds to secure release in time to meet customer’s needs.


·  Processes shipper debits.


·  Controls purchase order terms and accuracy.


·  Mitigates freight expenses for the company through negotiation.


·  Codes/audits/ authorizes international freight bills for payment.


·  Detail oriented; identifying problems within freight bill payment process and resolution.


·  Confronts and resolves both process and interpersonal issues.


·  Initiates actions in the complaint processing system to resolve customer issues.


·  Interacts with both internal and external customers.


·  Demonstrates good telephone etiquette.


·  Capable of making decisions online.


·  Ability to multi-task in a fast paced environment


·  Problem solver-ability to evaluate and resolve problems in a methodical manner.


·  Self-motivated within work environment to ensure tasks are completed in timely manner.


·  Import / Export Compliance experience and/or ability to comprehend complexity of governmental standards and mandates and apply to daily functions.
