Marketing Administrative Assistant

 

An immediate opportunity exists in our Marketing Department! We are seeking an experienced Marketing Administrative Assistant to support the Director of Marketing in all aspect of marketing. Responsibilities for this position include special projects, coordination of product launches, corporate tradeshows, public relations, webinars, printing and newsletters and marketing database management.

 

 

Job Responsibilities: Manage all aspects of trade show execution including event logistics, securing space, ordering services, coordinating staffing, ensuring shipping/receiving of materials, on-site management, manage trade show supplies, equipment, etc.Enter leads from trade shows, website advertising, and Info-requests into the CRM systemPrepare purchase order requests for all marketing activitiesMake Check requests on a weekly basis to ensure timely payment to vendors Track department spending by vendor to assist in evaluating actual vs. budgeted expenses. Evaluate lead generation activities and do weekly reports for Director of MarketingMaintain and Manage stocks of Marketing Materials and collateralsMaintain mailing lists used for special events by updating and tracking information from various sourcesMaintain marketing Calendar of Events and input events in the sales team calendarPrepare and do Mailings for Special Events, Telemarketing leads, and other marketing related mailingsMake travel arrangements as requested by Marketing Staff. Assist in planning and onsite participation of marketing activities. Perform other duties as required by Director of Marketing

 

Job Requirements:Minimum 2 years of secretarial/administrative experience; preferably within a marketing environment. Strong organizational skills required to handle large volumes of work with minimal supervision. Strong communication and interpersonal skills to interact with all levels of internal and external contacts. Strong attention to detail and accuracy. Ability to work in a fast paced environment to meet critical deadlines. Proficiency in MS PowerPoint, Excel, and Word.
