Job Title: Manager, Front Desk and Office Operations

Basic Function and Scope of Responsibilities:

The High Intensity Training Center (HIT Center) of Jacksonville, FL is a rapidly growing training center for elite athletes in the Professional, College and School age ranks, as well as for serious recreational athletes and overweight adults looking for a more intense strength, conditioning and weight loss regiment. Staffed by a dedicated  team of exercise physiologists, who use sate of the art equipment and proprietary exercise protocols, The HIT Center is experiencing tremendous success and delivering exceptional results and satisfaction to its clients. Due to the continued growth and expanding complexity of the business, The Hit Center is looking to fill the newly created position of Manger, Front Desk and Office Operations.

Reporting to the Executive Director; this position will function as a primary contact for the Center?s clients, vendors and suppliers, as well as support the Executive Director in running the day-to-day activities of the business. The position is responsible for running the Front Desk operations, including the scheduling, intake and billing of clients, trainer scheduling, act as the first point of contact to resolve customer service issues, assist in day-to-day business operations, including managing suppliers and vendors, paying bills, assisting with the preparation of employee payroll and maintenance of the company financial accounts and the preparation of basic monthly reports. Since the Center?s hours of operation extend beyond the normal work day, responsibilities also include the supervision of a Front Desk Receptionist to cover client and trainer scheduling during the alternate shifts.

The HIT Center is an athletic work environment staffed with energetic exercise professional who train some of the areas top athletes. The sense of ?Team? is very important at the HIT Center and the right individual will be able to integrate quickly into the operations of the business, be comfortable with working with a minimum of supervision, be able to think outside the box and put forth their views and recommendations, be super organized, accurate and pays close attention to detail.

 

Principal Responsibilities:

o  Front Desk Operations ? Client scheduling, intake-processing and billing (running during assigned shifts / supervising receptionist to cover alternate shifts)

o  Maintaining the system to track trainer schedules, work hours and assist in the preparation of payroll for review, approval and payment (via outsourced payroll company)

o  Manage, organize and pay suppliers and vendors, preparing check runs for approval and payment

o  Prepare routine book keeping activities in concert with company accountant / management.

o  Assist in the preparation of monthly reports on Center and trainer activities, productivity and performance.

 

Education Requirements: Minimum: Associate?s Degree, Trade or Technical School

Preferred: BS degree

Training, Skills, Knowledge and/or Experience: List specific examples, denoting (R) if required or (P) if preferred

o  Superior organizational skills and ability to take charge and manage assigned duties independently  (R)

o  Excellent interpersonal skills with the ability to interface in a professional and courteous manor with clients, suppliers and staff (R)

o  Experience running (or assisted running) a small business operation, preferably in the health care or fitness industry (R)

o  Experience with scheduling activities between clients and staff (R)

o  General knowledge of basic book keeping, accounting principles and management reporting(R)

o  Experience with Quick Books (financial accounting package) (P)

Pay range:  Competitive salary commensurate with experience and qualifications : target range $25,000 - $30,000
