Meeting Room Scheduler/Coordinator
Description:
To provide administrative support to the Conference Facilities Office, by scheduling conference rooms, the Kossiakoff Center and the recreational areas. Coordinate support services and maintain records of coffee and discretionary food orders.
Duties:
Schedule meetings and activities in the centrally managed conference rooms, Kossiakoff Center, Parsons Auditorium, cafeteria rooms and recreational areas. Receive and process food and beverage orders to Sodexho for meetings and conferences. Arrange and cordinate ancillary services (security, signage, audio-visual, room set-up, etc.) for meetings and conferences. Maintain detailed worksheets of budgets and associated costs for all food and beverage orders charged to the Department's discretionary and/or beverage funds. Prepares monthly food and beverage reports and distributes to Accounting and Sodexho.
Qualifications:
Required:
High School graduate or equivalent with 5 years' relevant work experience. Proficiency with computer to include MS Word, EXCEL, Outlook; ability to learn specialized application software; self starter with initiative and a demonstrated ability to follow through on assignments; ability to work independently as well as in a team environment; good organizational and multi-tasking skills; high accuracy rate and attention to detail; customer focused and ability to communicate with all levels of Laboratory staff and external customers.
Desired:
Familiarity with the Laboratory and a working knowledge of APL policies.
