Multifaceted Administrator - receptionist, office manager, executive administrative assistant

Real Estate Development Company in Rockville is seeking a trustworthy professional to fill multifaceted administrative position which includes a mixture of executive administrative assistant, office management, and receptionist duties. 

 

Receptionist responsibilities include:Answer multi-line phone in professional manner Relay information to employees Sort and distribute mail and faxes Prepare and send regular mail, overnight, and courier correspondence as requested Greet visitors and direct them accordingly

 

Office Management Responsibilities include:Administration of and coordination with vendors for:  general office supplies, cleaning supplies, printed materials, phone system, postage machine, fax machine, copy machine, bottled water, groceries for office kitchen, all other office services, and special events (birthdays, get well, etc greetings).  Coordination with affiliate companies regarding: mail that needs to be redirected to them, payment of invoices and accounting issues, and misc. Coordinating with building management company and other vendors for cleaning, maintenance, and repair issues Maintain working and orderly office environment ? water plants, replenish supplies (toner, ink, paper, etc.) in various office machines, and ensure file room and common space is neat and orderly.

 

Executive Administrative Assistant responsibilities include:In office Prepare and send letters & correspondence Input invoices, payments, and other project related data into Microsoft excel spreadsheets Prepare checks and reconcile bank statements Notarizing of documents (requires certification to obtained) Filing of documentation Prepare and coordinate with bank for banking supplies, wire transfers, etc. As requested - schedule meetings, maintain personal and business calendars, make travel arrangement, maintain personal vendor accounts, and perform research or other special projects for executives. Creating and maintaining computer reports and logs in Microsoft excel and wordOut of office 1x per week bank deposits (local branch) 1x weekly grocery pickup for office kitchen (local) Misc. local pickup and delivery as needed (infrequent)

 

Qualifications include:Computer knowledge, comfort, and experience with specific proficiency in Microsoft Excel, Microsoft Word, and Internet. Comfort with basic math High level of professionalism Helpful, pro active attitude Discretion regarding personal and company information Detail oriented Ability to multi task Dependable transportation Self directed Courteous

 

Hours are 9:00 am ? 5:30 pm Monday through Friday.
