Requirements/QualificationsMaintain organized work and reception area :self motivation to maintain ?clean? office environment and upkeep of plants, clean-up, etc. Good communication skills for ?hosting? welcoming customer with positive, friendly attitude Interact effectively with visitors Create a welcoming environment in the reception area and throughout the office

 

 

Skills Necessary:Required detailed attention to accuracy of all daily activities Ability to use binding machine Filing and records management Ability to type with high accuracy and proofread outgoing documents High level communication skills to maintain positive attitude with customers Ability to constantly follow up and confirm completion of items Self-motivated and constantly moving from one task to the next Ability to multi-task Ability to answer phones throughout all other activities

 

 

Knowledge Necessary:Knowledge of Word, Excel, Act for customer information management Knowledge of QuickBooks and bookkeeping practices

 

 

Overview of Job Responsibilities:

1)  Answer telephone, ?preview? calls and route accordingly

2) Maintain stock of office supplies and hardware for building customers orders

3) Process incoming orders with vendors/internal personnel and prepare for shipping

4) Customer contact to confirm how orders with vendors/internal personnel and prepare for shipping

5) Very basic bookkeeping, processing credit cards for purchases, collection calls, miscellaneous billing

6) Maintain accurate up-to-date customer listing and contact information in act

7) Print weekly reports for management ? FUTURE

8)  Place purchase orders with vendors: follow up to confirm receipt of product, etc.

9) Check and distribute daily post accordingly to appropriate personnel

10) Log in and documents all incoming items for return / repair and route to the technician for appropriate testing to be done

11)  Bank deposits daily if necessary of all incoming monies to company

12) Misc. errands

13) Other duties as assigned
