Office Manager / Admin Supervisor

SEEKING ADMINISTRATION SPECIALIST REPORTS TO: CEO, with support to other senior executives PRIMARY RESPONSIBILITIES: 1. Take direct responsibility for certain administrative functions: a. Correspond with corporate attorneys [general counsel, intellectual property, and litigation] to maintain an efficient flow of information between counsel and executives. b. Maintain corporate files and documents in an organized and secure fashion. c. Manage general building maintenance and security, including the occasional search for new facilities. d. Purchase office supplies and some marketing materials, maintaining reasonable inventory of supplies, at good value. e. Maintain an organized and efficient internal mail system. 2. Train for, and assume over time, certain Human Resources responsibilities, encouraging an employee community that is competitively compensated (salary and benefits): a. Maintain and evolve our Employee Handbook. b. Lead managers in the recruiting of employees, such that we find, hire, and retain great talent throughout the company. c. Fully support managers with employee terminations, including proper procedures, COBRA notifications, etc. d. Maintain compliance with all applicable employment law. e. Maintain all employee personnel files in an efficient and confidential manner. f. Search, evaluate, and implement employee benefits packages, particularly medical benefits. g. Manage and spend the Employee Relations budget. 3. Provide administrative support to the executive staff, including: a. Correspond with the Board of Directors and shareholders in a responsive, yet judicious manner. b. Travel planning and reservations, achieving travel efficiency and low cost. c. Plan and organize key meetings, to include sales meetings, board meetings, management meetings, trade shows, and so forth. d. Provide clerical support to the CFO, particularly during peak reporting events. e. Provide internal support for the Endless Eyewear Tour trailer, to include event reservations paperwork, insurance matters, etc. f. Maintain the Sales Rep Contact list. 4. Seek and accept a wide variety of Special Projects, and take pride in the variety and accomplishment thereof. Qualifications :
ESSENTIAL QUALIFICATIONS: 1. Two years administrative or executive support in a professional and confidential environment. 2. Associate degree or equivalent professional experience. 3. Position requires both exceptional communication skills as well as uncompromising confidentiality. DESIRABLE QUALIFICATIONS: 1. College degree. 2. Four years experience in executive or administrative support. 3. Human Resources or Recruiting department experience.
