Office Manager/Administrative Assistant

OFFICE MANAGER/ADMINISTRATIVE ASSISTANT POSITION

 

Phillips & Cohen LLP is looking for a reliable, conscientious, self-motivated and organized office manager/administrative assistant to join its San Francisco office.  This position involves managing day-to-day affairs for a small, public-spirited law office, including:

 maintaining computer system and equipment; pricing and ordering supplies; interacting with vendors and clients; processing and supplying client codes for invoices and other payables; hiring and supervising administrative support staff (part-time legal secretary and student intern); controlling costs; serving as liaison with building management regarding facilities issues (security and house-keeping); compiling and coding monthly billing data for D.C. office; coordinating with D.C. office administrator on firm-wide administrative issues; controlling petty cash; communicating with health insurance provider and staff regarding benefit changes; answering San Francisco employees? benefits questions; and handling annual business registration with and payment of payroll and property taxes to the City of San Francisco. 

 

In addition to the above-listed responsibilities, the office manager/administrative assistant will supply overflow secretarial assistance to our part-time legal secretary (who works 3 days a week), including assisting with the preparation of correspondence and mailings for 3 full-time and 3 part-time attorneys, finalizing court documents for filing in state and federal courts, maintaining client files, answering the phones and front door, transmitting faxes and mail, xeroxing, and making some travel arrangements. While legal secretary skills are a plus, they are not required.  Candidates with no prior legal secretarial experience (but who are otherwise qualified) will be provided with both on-the-job and outside professional training (seminars, courses).

Candidates must have a Bachelor?s Degree and a minimum of 3 years? experience.  Candidates must be proficient in Microsoft Word, Corel WordPerfect and Excel and have a working knowledge of Quicken.  Candidates must have sufficient computer skills to perform routine maintenance, upkeep and basic trouble-shooting on the office?s 9-person computer network and server.  (The office has an outside computer consultant to handle more difficult technical issues.)
