Office Manager / Exec Admin
Successful candidate will have prior experience at office management. This position could eventually include Human Resources tasks and experience.
Office Manager for a growing company of 50 employees. This position is also the Executive Admin for the CEO. NextG Networks, Inc. designs and implements wireless networks for the large cellular phone companies. Half of the employees work off-site. The main categories of responsibility are:
1. Admin support for certain executives and remote sales personnel
a. Printing Board of Director presentations and arranging board meetings
b. Travel arrangements (air, hotel, rental car) plus occasional after hours calls to help change reservations
c. Printing and binding presentations and proposals
d. Managing data base of customer names and contact info plus occasional mailings
2. Office management - ordering and supplying office supplies, stationery, business cards, nameplates, kitchen supplies and snacks
3. Office management (support services)
a. Open up the office at 8:00 AM and leave at 6:00 PM
b. Arranging occasional lunches
c. Fed Ex - Kinkos
d. American Express reconciliations
e. Incoming and outgoing mail
f. Cleanliness of conference rooms and kitchen
g. Meeting scheduling and organizing
4. Support for specific groups
a. Data base for details of network projects
b. Control of project list
c. City folders
d. University folders
e. Reservations for several conferences per year
5. CEO support
a. Managing CEO's schedule/calendar
b. Attending to CEO's work details
c. Arranging lunch for CEO (daily)
