Process Coordinator
We have an immediate opening for a Process/Customer Coordinator who will manage the on-line service request queue for client/customer project management requests and invoice validation for one of our well established national clients. This position will be based in our new offices in downtown Seattle.
Position Responsibilities:
Oversee and coordinate all incoming requests for project management services to support space modification activities on behalf of the Client.
Will work with the Client to ensure that all necessary documentation is provided and assess scope of work to determine whether it falls within Client standards.
Assign correct processing of requests through interface with Regional Project Managers.
Provide timely reporting, progress and feedback to team members and Client.
Provide assistance to Project Management group and client to ensure the expedient assignment and accurate reporting of service requests related to real estate, design and construction.
Receive, evaluate and dispatch Client requests for service for design/construction and real estate activities.
Interface with various user groups to ensure they understand processes and procedures. Recommend process improvements.
Convey status of projects with appropriate follow-up and answer questions or provide feedback to users.
Provide support to system administrator and project management group for Service Station and other systems. Act as knowledge center for users, requestors, employees and others as necessary.
Troubleshoot and provide technical assistance and/or process-related information relating to systems and processes.
Assist in department workflow improvement to streamline processes, create greater efficiency and speed-up cycle times.
Track volume and status of all requests and generate reports to assist CPS, PFD and CBRE management in determining appropriate staff and process improvements.
Maintain reports on an ?open? and ?closed? basis, verify and confirm status with appropriate project management staff or other appropriate resources.
May assist with receiving, scanning, routing, processing and tracking project invoices.
Position Qualifications:
Three years of related experience with customer communication and coordination of resources to support a high volume of service requests in an environment where excellent customer service is the priority. Must have excellent verbal and written communication skills and the ability to present information in a clear concise format; ability to comprehend, analyze, and interpret various business documents; ability to write reports in a format to support the Client; ability to effectively respond to complex inquires or complaints from customers, co-workers, supervisor, and/or management. Requires general knowledge of real estate, construction and/or facilities management accounting principles as they relate to project management methods and/or practices. Must possess the ability to solve problems analytically and quantitatively; be able to provide options and alternatives to improve efficiencies and to minimize business disruption.
Essential skills ? Must be detail oriented and have excellent organizational skills; intermediate skills with standard computer programs and Microsoft Office Suite, (Excel, Word, Outlook, MS Projects).
