Job Description:? Performs basic to intermediate administrative tasks that are specific to the department's function/services.
? Provide administrative support to two Financial Producers, including heavy scheduling of meetings; maintaining calendars
? Maintain strict confidentiality and use discretion in screening calls and visitors
? Use discretion in screening calls and visitors
? Function as information resource and respond to regularly occurring requests for information
? Make travel arrangements and prepare itineraries, prepare expense reports and track reimbursements
? Create, monitor and process disbursement warrants for payment of invoices related to office expenses
? Track incoming and outgoing correspondence; review and route as appropriate
? Maintain files and access filed material in a timely manner when requested.
? Assist in special projects involving Microsoft Suite (Word, Excel and PowerPoint), draft responses where necessary
? Use experience and knowledge to understand and anticipate administrative needs.
Job Requirements:? Intermediate knowledge and practical application of a word-processing package and ability to produce simple documents. Fundamental knowledge of graphics, spreadsheet, and database packages. Learning basic policies and procedures and acquiring general knowledge of department operations and other departments and their functions.
? 1-3 Years of executive secretarial experience
? Excellent communication skills (oral and written); ability to interact with individuals of all levels of the organization
? Computer skills - knowledge of Word, Excel and PowerPoint
? Independent judgment to plan, prioritize and organize diversified workload and recommend changes in office practices or procedures if necessary
? Able to work in a fast-paced environment and handle multiple tasks
? Excellent organizational skills with good follow up and attention to detail
