Real Estate Assistant -- 6 month contract assignment

Spherion, one of the nation?s leading staffing firms, is seeking experienced administrative professionals for multiple TEMPORARY assignments. Currently Spherion has a partnership with one of the largest specialty apparel brands in the industry. 

 

Currently we are seeking a Real Estate Assistant to cover a maternity leave at our San Bruno office....

 

 

Job Description- Real Estate Assistant (Temp)

 

Responsibilities:
Complete all lease action deal approval and new deal approval paperwork. Secure information from R.E. Representative regarding deal status, as well as information (site plans, sales info. etc.) from landlords and brokers regarding real estate.
Assist Project Coordinator in deal folder preparation by handling the following-
Label lease/site plans and other documents
Create maps using Map Point software (will train)
Request documents from landlords and brokers (cotenant information, lease/site plans, lease outline drawings, photos, aerials, etc., save to the I:Drive, create copies for deal file and attach to Forum
Secure respective division size information from CRR to be included on deal paperwork
Assist project Coordinator with updating Pro Formas and LOIs where needed (will train)
Update deal spreadsheet as needed

?  Responsible for uploading deal and market target information into Forum and Asset Management Database.
Request sales calls and follow-up with RE Strategy team as needed in order to prioritize and receive requests in a timely manner
Follow-up with Business Partners regularly in Store Design and Construction to ensure they meet our deadlines and deals stay on track
Assist in special projects as assigned including but not limited to developing spreadsheets with developer, division and regional information, and compiling market tour books
Create and change new folders as necessary for Project Coordinator
Assist in needed backup of phones, filing, and administrative functions
Arrange conference calls and book conference room as needed for team (proficient in Outlook helpful but not required, we will train)

 

Should possess the following skills:

?  Must possess excellent organizational, analytical, business communication, and written/verbal communication skills.

?  Must be detail oriented and able to manage multiple projects concurrently in a dynamic environment.

?  Must possess excellent technical/computer skills (proficient in Excel, Outlook, Word and PowerPoint and able to type 45+wpm).
Must take initiative, be accurate, professional, effectively prioritize, and have excellent people and relationship skills.
Four year degree preferred
Three to five years secretarial experience. Two to three years secretarial experience in architecture, construction, or commercial real estate development preferred
