Receptionist/Office Assistant
Are you looking for a fast-paced front desk position? HRnovations, a full-service HR consulting firm, is seeking an experienced Receptionist/Office Assistant for our downtown Bellevue office. We offer a friendly, upbeat environment, business casual dress, and a competitive benefits package. Compensation range will be $26,000-$30,000 per year, depending on experience.
The Receptionist/Office Assistant is responsible for supporting the consulting and payroll departments (total of 12 employees), in addition to performing a variety of general office tasks. Responsibilities include: Answering phones, routing calls appropriately, and answering a variety of general questions (10-30 calls per day)Managing the front desk area and greeting visitorsProcessing incoming and outgoing mailEditing, formatting, printing and/or mailing a variety of documentsCopying, collating and preparing project documents, notebooks, and training materialsCreating, updating and managing a variety of templatesAssembling and distributing marketing packets for prospective clientsPerforming data entry for employee payroll and benefits systemsFormatting and distributing monthly client invoices Completing and tracking employee paperworkFaxing and/or emailing information to clients and consultants as neededCreating and maintaining a variety of files (personnel, client, and subject)Organizing and maintaining a labeling and shelving system for the office libraryMonitoring office supply inventory and ordering supplies as neededCoordinating mass mailings as neededCoordinating maintenance and repair for office machinesMay create preliminary drafts of standard documents by inserting data into existing templatesAssisting staff with other projects as needed
This career opportunity is available for energetic candidates who have:
1 to 3 years of receptionist and/or administrative support experience, including document creation and editing (preferably supporting multiple employees in a fast-paced environment)
Computer proficiency, including advanced knowledge of Microsoft Word and intermediate knowledge of Outlook, Excel (creating spreadsheets, including formulas), and PowerPoint
Excellent accuracy and attention to detail
Excellent organizational skills, including filing skills
Strong communication skills (verbal, written and listening) and customer service orientation
The ability to multi-task and prioritize assignments daily
The ability to work 8:00 a.m. to 5:00 p.m. with lunch from 12:00 to 1:00 p.m.
