Receptionist / Office Manager
Technology company in need of an administrative assistant to provide general office management with a variety of clerical activities and related tasks. The Receptionist / Office Manager will be responsible for answering incoming calls, directing calls to appropriate individuals, mail distribution, requisition of supplies, sales & marketing administration, as well as additional clerical duties. Daily Responsibilities X Primary responsibility is to answer telephones and direct callers to the appropriate individuals or their voicemail boxes. X Greet visitors to the company. X Provide callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information. X Receive, sort and forward incoming mail. X Coordinate the pick-up and delivery of express mail services (FedEx, UPS, etc.) and courier services. X Assist in the ordering, receiving, stocking and distribution of office and production supplies. X Ensure that kitchen is fully stocked with soda, water, coffee, coffee filters, etc. X Coordinate with Sales & Production regarding catered client engagements. X Provide general support to executive positions within company, including typing documents. X Maintain executive filing system. X May also assist with other related clerical duties such as photocopying, faxing, filing, collating and data entry. X Provide sales & marketing support, including mailers, and presentation/proposal assembly All applicants applying for U.S. job openings must be authorized to work in the United States. Qualifications :
Requirements X Possession of strong organizational skills and a positive demeanor. X Excellent verbal and written communication skills. X Proactive approach & work ethic. X Proficient in the following Microsoft Office applications: Outlook, Word, Excel, & PowerPoint X Proficient in typing and formatting documents X Ability to work independently on assigned tasks as well as to accept direction on given assignments. X Able to work collectively with the company team members.
