SUMMARY: Under limited supervision, performs a variety of clerical activities of routine nature.  Provides other departments with clerical and typing assistance.  Projects positive company image and relations to company visitors, customers, applicants, etc.  Reports to Manager, HR.

 

DUTIES/RESPONSIBILITIES:

 

1. Assures incoming calls are answered promptly, routed to proper individuals and takes messages when necessary.  Utilizes page system to inform employees of incoming calls, company meetings, etc.

 

2. Greets visitors and contacts appropriate employees for visitors to see.  Assures that visitors have signed register, have name badges and are escorted when passing through lobby door.

 

3.  Receives, sorts and distributes mail to the appropriate mailboxes.  Receives email faxes and distributes to appropriate individuals.  Files all customer correspondence in proper customer file.

 

4.  Provides administrative assistance to the Manager, HR regarding new employees, company distribution of memos/letters, research and compilation of data onto spreadsheets/word files.

 

5.  Manages budget of monthly company meeting snacks.  Purchases snacks and appropriate supplies, completes set-up and break down of snacks presentation. 

 

6.  May operate general business machines such as typewriter, copier, calculator, adding machine, data terminals, PC and other similar equipment.

 

7.  Orders supplies for company and assures toner supply for company printers/copiers.

 

8.  Types letters, memos, product labels and reports for all departments as requested.

 

9.  Maintains adequate supply of company brochures.  Sends out brochures at request of Sales Manager, etc.  Assures that all company mailings are sent out in a timely manner.

 

10.  Maintains up to date roster of employees and their work locations, produces and distributes extension/intercom directory.

 

11.  Support the Quality System and Quality Policy by following procedures/work instructions and creating records to meet the requirements of the Quality System Regulation and ISO registration.

 

DUTIES AND RESPONSIBILITIES INCLUDE THE PRINCIPAL FUNCTIONS OF THE JOB.  THE JOB DESCRIPTION SHALL NOT BE CONSTRUED AS A COMPLETE LISTING OF ALL MISCELLANEOUS, INCIDENTAL OR OTHER DUTIES, WHICH MAY BE ASSIGNED DURING NORMAL OPERATIONS. 

 

TRAINING EXPERIENCE AND SKILL REQUIREMENTS:

 

Must have good verbal communication skills, basic reading, writing and arithmetic skills.  Minimum 45 wpm keyboard skills.  Neat and professional attire.  Must be multi-task oriented and have excellent customer service skills.  One year previous switchboard and office experience required.
