STAFF ASSOCIATE
Become an employee-owner of an association management company and a member of an account team supporting two dynamic trade associations. Under general direction of two Account Executives and a Program Coordinator provide administrative support relating to association client services. Responsibilities include, but are not limited to, the following:
General and Administrative
? Preparation of correspondence to individuals and committees
? Assist with various projects supervised by Program Coordinator, e.g., affinity programs
? Route or respond to various member inquiries
? Coordinate travel and calendar schedules for one account executive.
? Maintain supplies specific to two associations
? Develop working knowledge of association management company and assigned associations
? Attend several meetings and conferences outside the Washington DC area.
Membership
? Maintain membership data bases and membership prospect lists
? Manage membership materials and distribute materials as requested
? Process new member applications
? Prepare membership reports for committee and Board meetings
? Work with accounting department to issue annual dues invoices, track payments and follow up on accounts receivable
Magazines
? Track and follow up on gathering of editorial content
? Track advertising sales, issue invoices and follow up on accounts receivable
? Prepare advertising sales reports for membership and Board meetings
Meetings
? Provide notification to members for meetings and conference calls
? Assemble briefing books for Board meetings
? Assist in maintaining list of actions items from meetings and conference calls, as requested.
? Manage on line registration process and prepare registration packages for conferences of between 100 and 500 attendees.
? Distribute exhibit and sponsorship materials for conferences and track and prepare reports on these activities
? Coordinate speaker logistics for conferences
? Prepare reports on conference evaluation surveys
QUALIFICATIONS
? Computer literate in Microsoft Office especially including, Word and Excel. (must be able to conduct mail merges and create and update simple spreadsheets)
? Sophisticated verbal skills; conscientious interest in problem-solving; and initiative, creativity and determination to evolve successful solutions.
? Team player who is accountable for initiating and monitoring assignments through to completion.
? High energy, versatile and multi-task oriented, self-directed and good analytical and organizational skills with consistent attention to detail.
? Excellent written communication skills to provide professional writing for member communications and proofing and editing of others work
? Must be a positive team player in a challenging and changing environment; includes working with and being dependent upon a broad range and levels of personnel.
? Flexibility under competing time requirements and changing deadlines.
? Able to deal with a wide range of client association member personalities and styles.
? Self-motivated, excellent focus with a good sense of priorities.
