Sr. Administrative Assistant

(AMLN-02158)

Responsibilities:Maintain department-specific calendar and track vacations, business trips and/or regularly scheduled department meetings.Coordinate and schedule complex onsite and offsite meetings.  Secure meeting space, arrange for and/or handle food/beverage service and audio/visual needs.Act in a proactive manner to streamline and facilitate work demands of the managers to whom support is provided. Facilitate completion of agreement, contracts, honorarium requests, etc., as needed, through Legal and Accounting departments.  Arrange complex travel logistics for managers and staff. Follow through with all details to ensure efficient and cost-effective trips.Process travel expense reports, check requests and other accounting forms according to company policy.  Follow through on routing and approval process to ensure timely disbursement or reimbursement.Prepare and potentially create slide presentations utilizing Microsoft PowerPoint and Excel.May be asked to gather information and perform research to assist in report preparation and problem/question resolution.  Create, generate and type complex correspondence, memos (may be asked to take and transcribe dictation) and other correspondence/documents. Proof and disseminate.Read, sort and route mail on a daily basis.Develop and maintain complex filing systems. Track and renew department subscriptions and professional memberships. Photocopy and fax documents, as needed.  Assist with coordination of technology needs and facilitate timely resolution of issues. Assist with special projects as needed. Act as point of contact for assistance in central document maintenance and retrieval for department training, department-specific literature and textbooks.Coordinate monthly purchasing and office supply ordering.

 

Requirements:High school diploma or equivalent. Some college preferred.At least 3-4 years of administrative support experience. Knowledge of medical and scientific terminology is helpful.Expert-level computer skills with proficiency in all MS Windows programs.  Ability and willingness to learn new programs.  Accurate and fast typing (minimum 70 wpm)Exceptional organizational skills.Excellent interpersonal skills, including tact, diplomacy and flexibility.  Ability to communicate effectively to ensure completion of department priorities.Ability to deal pleasantly and effectively with employees at all levels.  Ability to handle multiple projects and exercise good judgment in prioritizing tasks.  Ability to understand, create and maintain complex filing systems. Ability to use not only standard office equipment including Dictaphone, facsimile and photocopy machine but also more advance systems such as Blackberry, video conferencing, etc.Ability to anticipate and proactively plan for the needs of managers supported.  Ability to regularly implement process improvements.
