The position provides specialized skills or broad-based knowledge to the department. The Administrative Assistant demonstrates a sustained high level of professionalism, accomplishment, discretion, and skill in organization.
This position most likely reports to a vice president or director.
The incumbent is required to have, or readily acquire. knowledge of the department's organizational structure, business function, priorities, and impact (on other departments, and the field organization) within the Company.
Qualifications
Responsibilities:
Drafts letters, reports, and other written documents with no model or precedent.
Performs advanced arithmetic calculations, such as calculating percentage and markup, working with fractions, and applying simple formulas.
Create compound documents, including text, graphics, spreadsheets, etc.
Manages calendars, schedules appointments, and otherwise assists supervisor in planning/managing time.
Organizes meetings, including coordinating meeting schedule with multiple participants, planning all logistics, determining and meeting equipment needs, etc.
Assumes management of the area in the supervisor's absence. Works independently in supervisor's absence, including finding the answers to questions and passing on information as appropriate.
Takes full responsibility for routine work process or special projects, including those where judgment and decision making are required.
Listens and understands associates' questions and needs and acts appropriately.
Sets and meets deadlines, including those which may be difficult to meet.
Communicates complex ideas, instructions, and information in a clear, concise, manner.
Verifies accuracy of information by checking multiple sources.
Recognizes errors in copy even when copy agrees with original source (and thus, the original source is incorrect)
Researches/compiles information from a variety of sources which are not readily available.
Organizes/accesses a wide array of information, facts, updates, etc.
Establishes procedures by which routine work is accomplished.
Troubleshoots standard work outputs for errors.
Trains associates who are new to the function or are having difficulty learning the function
