Special Event Manager Assistant

Job Qualifications

Must have excellent Word, Excel, Access and Power Point skills: be able to prioritize and manage multiple tasks in fast paced, sometimes stressful environment. Must possess excellent written, oral communication, and organizational skills: be detail oriented and motivated: Flexible hours and positive attitude important.  Must love to work with people and to perform meeting the highest standards of excellence. Must have a Bachelors degree, the ability to work independently and as a team member, and be a self-starter with a good sense of humor.

Job Description

Assistant to President and Account Executives helping with efficient and effective operation of a busy special event management office.  Provide administrative support to staff and company president and perform other duties as may be assigned. Has frequent contact with clients, event donors, and volunteers. Includes all aspects of office management including answering phones, scheduling of meetings, expense reports, ordering office supplies and more. Writes and distributes fund raising and auction donation letters. Updates sales reports daily tracking event donors, maintains donor files, assists with special activities and logistics, coordinates a variety of mailings. Assists with guest event registration process, distribution of production schedules and time lines for events, attends some meetings, provides post-meeting follow-up, issues reminder notices for meeting times and upcoming deadlines, may help develop invitation and program book copy, manages invitation lists, assists in the production of program books including securing advertisements from donors. Maintains accurate database system, including data entry, corrections, running reports and labels: prepares letters of appreciation to donors, coordinates meetings, including scheduling, planning, note taking and ordering of food: helps to manage client relationships and performs other duties as assigned.
