Sr. Administrative Assistant- Financial Services

Sr. Administrative Assistant- Financial Services/ Client Services/ Advanced Customer Service

 

Position Overview

This position for a Senior Administrative Assistant is responsible for providing support to a financial advisor in the areas of financial plan implementation, administration, marketing and client service.

 

Position Requirements

?  College level courses in business/finance preferred

?  Previous customer service experience preferred

?  3-5 years of business related experience preferred

?  1 year securities or related industry experience preferred

?  Ability to communicate with co-workers, clients, and various business contacts in a courteous and professional manner

?  Ability to investigate and research situations

?  Ability to maintain confidentiality

?  Ability to make rule-based and analytical decisions

?  Ability to manage several simultaneous tasks

?  Ability to organize, prioritize, and reprioritize tasks

?  Ability to pay close attention to detail, work under pressure and meet deadlines

?  Ability to take complete and accurate notes

?  Ability to be at work on a regular basis

?  Knowledge of general securities industry terminology and practices preferred

?  Skill in operating various office equipment including personal computer, fax machine, copier, etc.

?  Skill in utilizing various software packages such as Microsoft Office & Outlook

?  Skill in working with internet browsers

?  Skill in verbal and written communications

 

Job Duties/Tasks

1.  Lead staff for ?New Account? meetings (investments, life insurance, disability insurance)

2.  Lead staff for new client ? first 100 days

  I.  Setting up implementation meetings

II.  Follow up with the client when they receive their first statement.

3. Lead staff for developing and improving the client service process.

4. Perform general administrative and support functions for the office including maintaining files, preparing correspondence, running reports, answering telephones, scheduling appointments, copying materials, and faxing information. 

5.  Answer telephone inquiries from clients: Research and resolve client service problems by contacting Home Office and Sponsor Companies to resolve problems or errors as needed.Escalate problems/issues to Representative as appropriate. Organize, coordinate, and maintain all client paperwork.Communicate with clients to complete new accounts, asset transfers, and other forms.Handle routine matters for client accounts to include processing name and address changes, account applications, and bank authorizations. Set-up and maintain client management system Handle ordering and distribution of birthday cards, and Holiday cards.  Arrange gifts for client which are no more than $100 in value   Provide marketing support for the office to include:Sending marketing brochures to clients and prospects at direction of Representative(s) Following up on referrals, leads, prospects or clients with letters or notes signed by Representative(s) Handling unsolicited calls from prospects to schedule appointments or refer to Representative(s) Coordinating seminars or client appreciation eventsEnsure branch office meets Securities America's compliance requirementsRecord all transactions on appropriate logs and blotters Set up client files correctly and obtain necessary informationAssist with other duties and projects as assigned.
