Sr. Administrative Assistant, Legal Affairs
Job Summary: We are currently seeking a Senior Administrative Assistant, Legal Affairs for our Parsippany, NJ location. This position performs various clerical and administrative services, as well as general office duty services for individuals and/or the department. This includes computer processing of information and data using the Office Suite, onsite and offsite file maintenance, mail distribution, telephone reception, and meeting and travel arrangements. Additionally, this position will process expense reports and invoices to accounts payable.

Responsibilities: In this position, you will provide administrative support directly to the Vice President, General Counsel and Director, Government Affairs; and five managers of the Government Affairs team. Using Microsoft Office applications, you will compose and process letters, memoranda, faxes, e-mails, and independently generate reports and presentations of a complex nature. You will review drafts of finished documents and assist the department in designing and editing spreadsheets and/or presentations. Using independent judgment, you will manage and coordinate the Vice President, General Counsel's day-to-day business calendar involving numerous telephone calls and emails to coordinate calendar internally and externally. You will be the first line contact to internal and external customers, answering questions related to company, current department projects, office operations and established policies and procedures. You will also organize and plan all aspects of department meetings, conferences, and events that are typically with internal and external senior executives and may include global participants. You will manage domestic and more complex international travel, car service, and hotel arrangements for manager(s), while maintaining a file of expenses and related documents. Your work will be confidential in nature, requiring you to maintain a high level of professional and discretion. You will exercise considerable discretion and independent judgment and analyze complex information requests and determine complex trends. You will also manage and communicate quarterly and yearly accruals, work with outside vendors, prepare monthly expense reports and provide assistance with tracking and budgeting expenses. In addition, you will be responsible for researching invoice discrepancies and monitoring the budget for over and under spending. You will also be responsible, either independently or in cooperation with others, for significant special projects requiring general research, consolidation and dissemination of multiple pieces of information. In this position, you will provide guidance, training, and direction, as needed, to other administrative employees. You will perform additional duties as required. You will also provide backup to other administrative assistants, as needed.
