Sr. Administrative Assoc.

  This position requires a strong, experienced professional with excellent judgment and initiative. Candidate must have a strong proven track record of success in handling multiple, deadline-oriented priorities in a fast paced environment.

PRIMARY RESPONSIBILITIES:

* General office duties: manage daily schedule of managers, including travel arrangements, directing inquiries to the appropriate sources, opening/sorting mail, ordering office supplies.
* Scheduling staff meetings, preparing agendas, distributing agenda materials and following up on action assignments.
* Prepare presentations for internal and external meetings.
* Assist with facility and systems issues, for home and field offices.
* Keep accurate department calendar for team member travel & vacation schedule
* Draft correspondence, memos, presentations.
* Work in a team environment and with all levels of management to ensure ongoing, accurate communication among all staff members.
* Review and reconcile budget; manage departments invoice system including review, payment, tracking, and reporting.


 


MINIMUM REQUIREMENTS:


 5 years administrative experience, preferably in the financial services industry.
* Very strong collaboration, interpersonal skills and self-confidence.
* Excellent written and verbal skills are critical in light of extensive contact with senior management.
* Ability to prioritize own activities and work on multiple projects simultaneously.
* Strong initiation, follow through and adaptability to changing requirements.
* Highly motivated and results-oriented.
* Proficient in MS Word, Excel, PowerPoint & Lotus Notes.


* Coordinate special projects and ad-hoc requests.
