Sr. Administrative Specialist

We currently have an opening in our Vaccine Clinical Research Department for a Senior Administrative Specialist, at our Pearl River/Blue Hill, NY facility (located on the Rockland County, NY/Bergen County, NJ border).

The Senior Administrative Specialist will perform complex administrative duties for Sr. Director, Director, two associate Directors, Assistant Director, and Sr. statisticians and Sr. programmers in department of Biostatistics and Programming. Numerous meeting arrangements and calendar maintenance, filing, proofreading, obtaining e-journals, telephone coverage, travel reservations, expense statements and Visa reconciliation. Maintain training records/administrative responsibilities for all principals. Provide advanced computer skills to create presentation materials and copy/distribute materials in a timely manner (electronic and hard copy). Schedule, attend, and prepare minutes for weekly staff meeting and distribution of minutes to staffs. Purchase office supplies using the B2B system, maintain records of purchases and assist in maintaining office supplies and equipments. Back-up other Clinical Research Coordinators on an as-needed basis. Provide training to other administrative staff on an as-needed basis. Fulfill Wyeth personal training requirements and attend other training classes as deemed necessary to increase skill base. Where applicable, performs job responsibilities in compliance with company guidelines. Be able to check-in and checkout documents from electronic document management system (EDMS). Prepare documents using current submission standards and review documents prepared by others to ensure they also meet submission standards. Performs other duties as assigned.

A high school Diploma or equivalent degree, Associate's degree preferred. Administrative/executive assistant level with at least 10 years experience is required. Proficient in various software applications, including Microsoft Office (Word, Excel, Powerpoint), Groupwise.
