Tax - Administrative Assistant
Simmons Bedding Company, maker of the world famous Beautyrest mattress, is actively recruiting for a Tax Administrative Assistant in our Tax department at our corporate office located in the Concourse Office Park in the Perimeter Area.
SUMMARY
This position serves as the office manager for the Tax Dept, who processes most of the work product of the 4-5 professionals therein, who assists the various tax professionals with special tax projects, with monthly & annual tax filings, with tax audit support work, and who functions in a para-professional capacity in coordinating and facilitating a smooth-running corporate tax department, volunteering to help as and where needed, possessing the tax-technical skill set to handle some professional-level tasks, while at all times taking ownership of the day-to-day departmental administrative processes.
DUTIES AND RESPONSIBILITIES Processes all (apprx.1200) tax returns annually for mailing, verifies Tax check requests processed timely, secures mailing documentation & file copies, hand-delivers mail to Post Office, obtains dated receipts, attaches same to correct tax return file copies as proof of timely mailing/remittance.
Assists in the annual Tax Budget preparation process; maintains detailed of Tax Budget accounts, month-to-month, in full detail. Organizes & maintains Tax Dept. professional filing system, including file/cabinet/drawer indexing, numbering, coding, scanning/imaging, referencing, and off-site storage oversight.
Assists Sr. Tax Manager with G/L Tax account analyses (e.g., M+E accounts, donations documentation, other permanent difference account analyses) for Provision & Return prep., as well as other duties within his/her skill-set.
Assists Tax Manager for Sales/Use/Property Taxes in preparation & filing of (1) monthly sales & use tax returns (apprx. 40+ a month, using Vertex tax software) & (2) annual property tax listings companywide (apprx. 55 returns), including extension requests, assessment notice review & verification, tax bill review/verification/payment, & related file maintenance, copying, mailing receipts, etc. Assists Tax Manager with state sales-use tax audit analyses, sales tax invoice research & verification, customer correspondence re: missing or invalid exempt certs, related 2nd & 3rd notice follow-ups, and other audit protest & response issues (apprx. 2-3 state audits a year). Assists Fixed Assets Administrator with companywide business & bedding license renewals, state-by-state mattress law tag registrations, related due date calendar maintenance, jurisdiction files & file-cabinet maintenance.
Administers daily calendars & schedules for VP-Tax; books appointments & meeting rooms; attends to guests/consultants/visitors; plans trips & makes reservations for Board meetings.
Maintains Tax vendor files and preparation of related invoices for payment.
Prepares occasional PowerPoint presentations and official correspondence in support of the VP-Tax and the Tax Managers.
Orders office supplies for all members of the Tax Dept. and maintains supply inventory.
Receives, opens, date-stamps & distributes incoming mail to VP-Tax; distributes outbox mail from the VP-Tax to the Tax staff and others.
QUALIFICATIONS

Positive outlook, friendly, conscientious, who understands the peaks & valleys of tax work
EDUCATION AND/OR EXPERIENCE
2-year college degree minimum; 4-year degree preferred
Sr. bookkeeper level accounting background
Corporate tax compliance experience, a plus
Sales-use & property tax returns preparation experience preferred
