Tenant Services Coordinator
Financial
The Tenant Services Coordinator is the direct contact between all tenants, tenant contacts and the building management office, including the operations employees and subcontractors, to ensure all lines of communication are open to ensure tenants' safety and comfort during their work day.
1. Develop and maintain a good open relationship with tenants and tenant contacts in order to anticipate their needs.
2. Receive calls from tenants, process tenant service request forms, assign responsibility for requests to engineering/porter team through the use of a 2-way radio and Angus service request.
3. Handle tenant complaints and interact with tenants on all levels and areas in the building management.
4. Coordinate and/or assist in planning events including tenant events.
5. Monitor and analyze service results with a goal of consistent improvement.
6. Follow-up when appropriate to determine tenant satisfaction. Keep tenant handbook, emergency preparedness materials and building directories up-to-date.
7. Coordinate floor warden activities and meetings.
8. Provide all tenant building signage.
9. Maintain tenant rosters of emergency contacts, disabled tenant employees.
10. Develop and process tenant letters, maintain correspondence in tenant lease files.
11. Assist in preparation of quarterly newsletter.
12. Serve as back-up for Receptionist.
13. Provide clerical and telephone support to managers, engineers and other employees as needed.
14. Provide follow-through with building contractors at the direction of the General Manager and Assistant General Manager to ensure required service levels (security, garages, cleaners).
BASIC SKILLS:
oTyping of 40 WPM at a minimum.
oAbility to perform clerical support staff functions.
oAbility to remain calm during potential emergency or crisis situations.
oAbility to meet deadlines and follow office procedures with a professional image and composure.
oOutstanding "people" skills and customer service.
TECHNICAL SKILLS:
oMRI or similar accounting software
oMS Office - Excel 97, Word 97, Outlook, email.
oGeneral office machines
oBinding equipment
oPhone system
o2-way radio
