Wisconsin - Marketing Administrative Assistant
We are a fast-growing health care company with Medicare Advantage health plans in multiple states. We have plans to grow through acquisitions and new startup operations in additional markets over the next few years. This growth and added complexity of our operation is requiring a significant investment in human resources as well and as a result we have a new opening for a Marketing Administrative Assistant.
Job Purpose: To provide administrative support to the Wisconsin Marketing Team and promote an efficient and effective office environment.
Role and responsibilities: This position provides administrative support to the Marketing team. This support involves a high degree of personal interaction with the health plan, department staff, physicians, practice administrators and the general public. Strong organization and interpersonal skills as well as discretion, multi-task management in a highly energetic, dynamic environment are required.
The position is responsible for maintaining a smooth working environment for the Wisconsin Marketing team and includes maintaining and organization of staff events, calendars, and any outside events as needed.
In addition the position will be responsible for the following primary functions:
Prioritize and distribute incoming and outgoing mailAnswer and screen calls where appropriate, be responsive to questions/problems and channeling calls to appropriate departments when necessary.Prepare internal and external correspondence, memorandums, emails and faxes.Prepare and maintain minutes for meetings, committees, boards as required.Establish and maintain electronic and paper filing system for the department in an organized functional manner.Schedule new and reoccurring appointments and meetings for the department managers.Coordinate meetings. Develop and distribute agendas and meeting materials.Schedule interviews for departmental staff.Order and maintain supplies.Prepare reports as needed.Research, assimilate, and compile data as needed.Administer monthly expenses and staff calendars.Act as a resource for internal projects.Coordinate internal and external events and conferences as needed ? correspondence, locations, collaterals, etc. Maintain staff?s out of office calendarPerforms other duties as assigned.
Skills and Competencies: This position requires a high school diploma, associate degree preferred.Three or more years experience as an administrative or executive assistant with increasing responsibilities. Ability to type at lest 55 wpm and documented evidence of competence in a variety of computer software (Microsoft Word, Excel, PowerPoint, etc)
Requires a detailed knowledge of office management and secretarial processes in terms of the purpose and rational of HHSI business.
Excellent communicative skills and the ability to manage time sensitive situations.
Ability to work in a highly charged, dynamic environment.
High degree of customer relation skills to manage multiple publics and the ability to anticipate and address customer needs.
Ability to function as an effective team member.
