"SUPERSTAR" Executive Administrative Assistants

 

Experienced "Superstars"  Needed immediately for a high energy, fast paced emerging growth franchise weight management company.

 

Position 1 - Superstar Executive Administrative Assistant

 

Ability to provide a vast array of secretarial and administrative support duties to all departments.



Responsibilities and Accountabilities:


Responsible for preparing franchise documents for signature and then send out documents. Track receipt and return of documents. Ability to create a tickler system.

 

Responsible for completing brochures, binders and training manuals.

 

Maintain, update and create databases and/or database information. Codes, compiles and files correspondences, records, documents and reports according to an established system.

 

Gathers and arranges materials and relevant information for assigned project or person. May prepare, organize and maintain documents and files of a complex or confidential nature. Ability to accomplish research via the internet or phone calls.

 

Schedule meetings and appointments and when asked take and prepare notes of meetings, conferences, and similar proceedings.

 

Perform administrative functions such as ordering department supplies, coordinating equipment repair, making staff travel arrangements.  Sorts and distributes mail and packages to appropriate parties. In charge of shipping and/or overseeing shipping.


Answers telephone calls, takes messages, responds to questions, and directs callers to appropriate parties. Manage front of ?house?, greet visitors, types letters, memoranda and reports from drafts and proofreads and reviews documents for grammatical and numerical errors.



Skills & Qualifications

 

Looking for a person who is proficient in word, database management, Microsoft office, excel, PowerPoint, email coupled with the ability  to learn new software programs.

 

Must be able to multi-task and juggle priorities. Should be able to make decisions and take initiative.

 

Ability to work under pressure for multiple personalities. Ability to work with little supervision.


Legal secretarial experience a plus.

Position 2- Experienced Call Center/Marketing Administrative Assistant

 

Responsibilities include answering phones, making appointments, tracking appointments and follow -up. Ability to create and follow scripts. A people person needed.

 

Ability to multi-task and set priorities. Self Starter.

 

Perform administrative functions such as ordering department supplies, coordinating equipment repair, making staff travel arrangements.  Sorts and distributes mail and packages to appropriate parties. In charge of shipping and/or overseeing shipping.

 

Assist marketing department with newsletters, promotions, brochures, openings. Knowledge of marketing and graphics a plus.

 

Ability to work with little supervision.

 

Proficient in word, database management, Microsoft office, excel, PowerPoint, email coupled with the ability  to learn new software programs. Desktop publishing and ability to work with a MAC a plus.
