    Summary:

 

Responsible for creating enthusiastically satisfied clients by providing internal support as well as client support as required to Account Managers and Account Directors in the management of project details from start to completion, ensuring an on strategy, on time and on budget execution.

 

 

Description of Responsibilities:

 

1. 2. Project Coordination:Assist in the preparation of work orders, job foldersPrioritize tasks and workflowParticipate in briefing meetings and pre-production meetings as requiredSchedule time with Studio Director Attend scheduling meetingsPrepare and monitor project critical pathEnsure all information is correct and thorough when put into the studio and before going out to clientProof all materials against specific information with 100% accuracyApply general industry knowledge and common senseCommunicate with the Studio regularly throughout the project cycle (verbal and written)Alert Account Manager / Managing Director of potential issuesCommunicate with film and print suppliers to gather requested materials and information (providing and checking specifications)

 

3. Maintain Workflow Systems:Help maintain and promote systems and protocols to optimize efficiency and profitabilityUse filemaker pro, Outlook and Lotus Notes workflow and communication forms to ensure all customer and project related information is stored in our database system (memos, workorders, production spec sheets, estimates, etc.)Assist in the preparation of project estimates on a timely basis and revise as required or as scope of project changesMonitor design and production hours on docket and alert Account Manager / Director of potential concernsTimely invoicing to clients with appropriate back-up and reference as required by clientAssist Account Manager/Account Director/Managing Director in managing client account receivablesFollow up with client as required/requested

 

4. Customer service:Liaise with clients in case of unavailability of Account ManagerAnticipate challenges and step in to manage projects on behalf of Account Manage/DirectorStrive to provide knowledge and deliver service which exceeds client expectationEstablish trust and credibility? Gain the confidence of clients, Anthem account managers and internal studio teams through consistent attention to detail, good judgment and people skillsEnsure tone and manner used with clients and suppliers is professional and in keeping with the company?s guiding principles

 

5. Provide administrative support:Ensure thorough documentation of information, events, changes, etcSet up meetings both internally and externally as requiredTyping of correspondence (memos/letters) and proposalsMaintain accurate records and filing system for ease of reference

 

6. Training and Development:Understand your skill strengths and shortcomings to meet or exceed developmental expectationsSeek support and learning from fellow employees, suppliers and any other information sourcesOffer training and support in a positive and respectful manner

 

 

Section IV  Organizational Relationships:

 

?  Labor:  Position reports directly to the Dir., Client Services

?  Co-Workers:  Direct relationship with:

 

?  Account managers and account directors

?  Anthem employees and Schawk employees,

?  Photographers, Illustrators

?  Other prepress and print vendors

?  Supporting marketing and communications partners

?  Clients 

 

 

 

Section V General:

 

?  Position:    Salaried, exempt

?  Time:  Full time position

?  Hours:  8:30am to 5:00pm M-F, customer demands may dictate longer hours

 

 

Section VI  Position Qualifications:

 

?  Education:    Post Secondary Education ? Bachelors degree or equivalent diploma

 

?  Experience:Minimum 3 years in supporting roles for marketing, sales, business administration or equivalent.

 

Other Skills: Good Macintosh and/or Windows platform skills are necessary including internet and email, FileMaker Pro and Microsoft Office programs.

  Good understanding of accounting mechanics.

  Strong organizational skills, detail oriented

Work very well within a team environment

Excellent time management abilities, ability to take direction and proactively see tasks to completion.

Proactively seek opportunities to improve knowledge and skill set both short and long term.
