Administrative Assistant

Job Description
Administrative Support - Maintain calendar for Vice President and other team members, schedule meetings, ensure calendars are kept current reflecting travel for business, vacations, etc. Provide mail/shipment support. Maintain office supplies and files for team. Prepare correspondence for direct reports and division. Provide phone coverage for assigned principals and serve as back up to other Administrative Assistants. Manage and coordinate field alignment changes to implement within all company systems for reporting purposes. Schedule cross functional team meetingsPresentation Development - Responsible for developing presentations and business reviews for Vice President and the marketing team. Responsible for developing templates, graphics, and chart inputs at highest professional standards. Communication - Handle and route inquiries to various members of the team. Coordinate with other administrative counterparts on coordination of major presentations (National Sales Meeting, Business Reviews, Top to Top Presentations, BMC's). Serve as key contact for field, bottlers, and agencies. Serve as the communication hub for the commercial team.Special Projects - Manage special marketing projects as needed. Coordinate new hire orientations with Human Resources and key division employees. Reporting - Responsible for ensuring all incoming monthly/weekly reports are on time and accurate. Coordinate with brand managers for monthly commentary and volume forecasts. Maintain accuracy of budget for the brand team.

Requirements
Education: 2 plus years of college preferred. Three plus years administrative experience. High energy level and flexibility needed. Able to work overtime as needed.

Required Skills/Abilities: Project Management: Ability to manage a project (i.e. presentations) from start to finish including coordinating across multiple functional groups. Must work well under stress. Computer Skills: Expert in PowerPoint, with advanced knowledge of Word and Excel. Proven experience pulling data from various databases (i.e. PowerPlay, Nielsen, etc.) Willingness to learn new information sources and computer techniques. Photoshop is a plus. Expert in Lotus Notes or able to learn quickly.Organizational Skills: Excellent organizational skills and ability to prioritize requests from a multi-person team. Must be detailed oriented with and ability to work in a fast paced environment. Team Player: Ability to work for a large team and be a flexible team player Proven success managing/influencing other administrative assistants Communication Skills: Must possess excellent communication skills, both written and verbal.
