Advertising Operations Manager

Position Description: POSITION TITLE: ADVERTISING OPERATIONS MANAGER

DATE: July 2006

REPORTS TO: Advertising Manager



PRIMARY FUNCTION:

Manage the daily operations and support operations of the advertising department including show coordination, literature fulfillment and tracking of all advertising projects. Initiate regular communication of deadlines and priorities with advertising personnel and Marketing/Sales Managers.


Trade Shows:

Coordination and/or overseeing duties pertaining to company trade shows, to include maintaining and updating show schedule, order and payment of booth space, furniture rental, electrical etc. Creating show files which contain show details.

Oversee Trade Show Coordinator insuring all equipment and promotional requests are completed and shipped in a timely manner for each show.

Solicit preliminary show request information to determine special requests if any for each show. Use information in preparation and planning of each show. Coordinate show planning meetings for shows that have requested special projects. Conduct Red Show File meeting prior to each show to confirm preparations made and follow up required for the show with lead individual working the show.

Follow up after each show is complete to insure equipment is maintained or replaced as needed. Document feedback / information and or issues to be used in planning for next show.


Tracking Department Projects:

Work with Advertising Manager to prioritize, track and update status of all creative projects being delegated to the advertising staff. Communicate status of each project to Advertising Manager, appropriate Designer and Marketing / Sales Managers on a regular basis to insure timelines are being met.




Literature Fulfillment:

Oversee Literature Fulfillment Coordinator. Insuring all dealer / end user and show requests for literature, pricelists and promotional items are being filled in a timely manner.

Inventory literature and promotional items on a monthly basis to insure minimum inventory levels are maintained. Re-order brochures from Home Company and promotional items from appropriate vendors as needed.

Keep all request forms up to date adding new products/items and information and deleting obsolete products/items.

Coordinate all mailings includes organizing all necessary materials, requesting temporary labor and overseeing assembly and distribution.


Other Responsibilities:

Coordinate proof reading of Home Company documents, includes direct communications with Home Company contact.

Maintain budget tracking system for advertising projects and shows, includes communication regarding budget variances to both Advertising Manager and effected divisions.

Assist Advertising Manager with press release distribution and maintenance of press release distribution/contacts lists.

Other duties and projects as assigned.

REQUIREMENTS:

Minimum 2 to 3 years as a people/project manager with excellent interpersonal skills and the ability to communicate effectively in written and oral form with all levels. Strong customer service and teamwork skills also required

Exceptional organizational skills, attention to detail, initiative and follow through required. Also requires a high level of problem solving skills with the ability to make decisions independently with little or no input.

REQUIREMENTS (Cont.)

Strong working knowledge of Outlook, Word and Excel, Explorer, Adobe Acrobat (PDF files) required. Experience with Macintosh, Adobe Photoshop and project management software highly desirable.

Experience working in a fasted paced environment with the ability to establish and communicate priorities. Must be organized to meet deadlines under pressure while handling multiple projects. Strong negotiations skills essential.

Ability and willingness to work additional hours as needed.


EDUCATIONAL REQUIREMENTS:

Prefer college degree in marketing, communications or related field or equivalent work experience.
