 Job Description

 

 

Function

To assist in the handling of the executives activities.  This person must be knowledgeable about all departments in the Agency and its systems; understand the confidential nature of business matters; serve as the communications link for the executive with Agency personnel, clients, and other outside contacts.  This person must provide secretarial and administrative support, possess superior secretarial skills, sound judgment, tact, and discretion.  Principal Responsibilities

? Types and proofs correspondence and reports as directed.

? Drafts responses and acknowledgements to routine inquiries, as authorized.

? Maintains appropriate files and protects confidential documents and information.

? Anticipates requirements or problems which may otherwise disrupt the activities of the executive supported and responds to correct such matters.

? Maintains appointment calendars, travel arrangements, phone message center for assigned executive.

? Photocopying, filing, and preparing expense reports.

? Production of new business plans/proposals and/or presentations.

? Shields the executive supported from unnecessary distractions, as tact and judgment dictate.

? Arranges for supplies and maintenance service of general office needs.

? Keeps executive and subordinates informed of changes in agency policy, new accounts, important news items, etc.

? Keeps executive informed of administrative concerns relating to the office, both as to the personnel and facilities issues.Measures of Accountability

? Assigned duties are performed promptly and accurately.

? Working relationship with supervising executive reveals no significant recurring problems.

? Relationship with vendors and office staff (particularly the secretarial staff) are harmonious and productive.

? The office is provided with the necessary and reliable services to function efficiently.

 

Personality Traits and Other Standard Requirements

Ability to word-process accurately, grasp and conduct administrative and/or clerical assignments with minimal supervision.  Ability to communicate clearly and interface with all management levels.  Pleasant manner and maturity.  Highest possible ethical standards. Promptness.

 

Length & Type of Experience Required

Previous secretarial experience necessary.
