Facility Coordinator

 

The Ventura Group, a division of Education Management Corporation (www.edmc.com), provides continuing education and test preparation services to K-12 educators and professionals in the behavioral sciences. The Facility Coordinator reports to the Workshop Supervisor and is responsible for procuring, negotiating and coordinating facilities for workshops held by The Ventura Group.

 

Essential Duties and Responsibilities:

?  Negotiate and contract with schools/hotels/conference centers, etc. for classrooms and computer labs, obtaining the best possible fees according to the planned workshop location and need.

?  Review class evaluations to rate facilities and determine if they should be re-used.

?  Work with instructors to schedule facilities to fit their needs.

?  Develop an automated system to track and organize facility specific information and records.

?  Maintain accurate facility files to track contracts, rental fees, cancellation terms and other facility features.

?  Establish relationships with facility personnel to improve the process of booking facilities.

?  Research and identify new facility locations in existing and/or new geographical locations.

?  Develop contact flows for facilities to streamline the booking process.

?  Confirm and cancel facility rentals as necessary in a timely manner.

?  Resolve facility issues promptly with instructors and facility personnel.

?  Reconcile, process, and approve facility pay requests, keeping accurate records and ensuring the fee charged is as contracted.

 

Qualifications:

?  Strong organizational and multi-tasking skills

?  Speed, accuracy, problem solving skills, and attention to detail

?  Meeting planning/negotiation skills

?  Ability to work around obstacles and resolve problems

?  Proficiency with MS Office and customer relationship management software

?  Experience performing detail oriented work in a professional environment

?  Work effectively in a team environment

?  Ability to deliver excellent customer service consistently

?  Strong interpersonal and communication skills

?  Ability to work flexible hours as necessary to cover shifts (as early as 6am)
