Meetings Coordinator

CMSA, a growing international trade association representing companies in the commercial real estate capital markets industry, has an excellent opportunity for a hands-on, team-oriented professional to become a Meetings Coordinator.  Reporting to the Meetings Director, the incumbent will be responsible for working to ensure the smooth operation of all CMSA events and meetings, including:

 

q Participate in the development of timelines regarding all CMSA meetings, including the Annual Convention, Investors Conference and other Major U.S. CMSA Meetings.  Sole responsibility for the Canadian Conference, with support from the Meetings Director.

 

q Work with Meetings Director to provide input as to budgets for all CMSA meetings, and to work with hotels and other vendors to ensure cost efficiencies and to ensure timely payment of all bills.

 

q Coordinate needs of all speakers for CMSA meetings, and assure collection of all speaker bios for dissemination at meetings. 

 

q Coordinate any Exhibit Hall areas provided at CMSA events to ensure sponsor satisfaction.

 

q Coordinate printed materials for meetings as required, including banners, signage, convention/conference books, etc. 

 

q Research and secure venues.  When applicable, conduct a primary site visit.  Obtain special hotel rates for speakers and/or staff, as required. 

 

q Primary negotiator of contracts for seminars, Executive Committee Dinners & Co-Chair Dinners, with assistance as needed from Director, Meetings, to secure space for all meetings and receptions.

 

q All other duties and responsibilities, as assigned by the Director, Meetings.

 

 

Minimum Qualifications:

q Bachelors Degree or the equivalent combination of education and relevant experience required.

 

q A minimum of 3 ? 5 years of related experience required, including previous event and/or project management experience.

 

q Ability to simultaneously identify, manage, and implement diverse and multiple tasks related to strategic marketing and events. 

 

q Strong computer skills, including MS Office, (especially PowerPoint) and database management skills.

 

q Experience in managing and developing budgets essential. 

 

q Excellent oral and written communication skills required, as is the ability to use tact and discretion in dealing with a wide range of internal and external constituents. 

 

q Must be able to work within a fast-paced, dynamic team.
