Program Assistant

Integrated Communications Corporation, a dynamic award winning medical advertising and communications agency with well-known pharmaceutical clients, has an opportunity in our Parsippany, NJ office for an experienced Program Assistant.  We are looking for an analytical detail oriented, organized individual who is comfortable working with Databases, and can work well both independently and as part of a team.

 

RESPONSIBILITIES

? Review assignments with Project Director/Manager to ensure program specifications (e.g, Audience, Objectives, Description) is understood.

? Implement assigned day-to-day activities of programs to ensure timeliness, accuracy and cost-efficiency of each job.

-  Assist with check requests, purchase orders

-  Assist with recruitment, status reports, participants lists

-  Assist with healthcare professional research (complete address information, secretary?s name, etc)

-  Assist with association/meeting research

-  Assist with database design and maintenance

? Generate and distribute all materials associated with programs.

? Sort and distribute incoming/outgoing mail for assigned Directors and VPs

? Generate, maintain, and distribute calendars for full-time Directors and VPs on assigned team via Outlook 2000.

? Schedule meetings and make arrangements for A/V and food for assigned Directors and VPs.

? Make travel arrangements for assigned Directors and VPs.

? Complete expense reports for assigned Directors and VP team members.

? Obtain cash advances for assigned Directors and VPs.

? Provide telephone back-up, as necessary, to team members.

? Facilitate planning and organization of vendor meetings.

? Provide written and verbal status reports to team leader on an ongoing basis.

? Type, format, proofread materials, as necessary, generated by Project and Medical staff on assigned teams.

? Create files as requested by Project and Medical staff on assigned teams.

? Continually challenge and evaluate processes and projects in an effort to improve the quality of our services.

? Adhere to agency policies and procedures and unifying principles.

? Other duties as assigned.

 

Minimum Requirements:

? Bachelors Degree

? Excellent knowledge of and experience with PowerPoint, Access, Word, Excel, and Windows

? At least one year of related work experience

? Excellent written and oral communication skills

? Excellent organization skills and attention to detail
